Job Description

Front Desk Coordinator About the Role We are seeking a Front Desk Coordinator to support front desk administrative functions in our outpatient behavioral health agency. Key Responsibilities 1. Client Reception & Office Environment Greet and check in clients, update status in EHR system, answer phone calls, handle reminders, and manage incoming/outgoing mail. Maintain cleanliness and organization of the front desk, lobby, counseling spaces, kitchenette, and office plants. Coordinate minor repair or maintenance requests as needed (contact vendors, schedule inspections/repairs). 2. Scheduling & Client Follow-Up Coordinate and manage counselors' schedules (resolve conflicts, schedule follow-ups). Maintain waitlists, track lost-to-follow-up clients, and coordinate outreach when clinical staff support is needed. 3. Assessment & Documentation Management Prepare and manage all forms and documents required for assessment and services (consent forms, assessment documents, legal documentation). Scan, fax, and process external document requests as needed. Track assessment progress, maintain referral records, and ensure documentation is accurately recorded in the EHR system. Manage program-specific documentation and tracking requirements, including school-based services and external partners. 4. Insurance & Financial Processing Support Verify insurance eligibility and authorization requirements; check monthly funding programs. Assist uninsured clients with income verification, case management setup, and funding applications. Collect payments, record and post charges (including cash), and ensure accuracy in client accounts. Verify insurance eligibility for school-based services, enter required data into Ritten, and communicate eligibility status to assigned counselors. 5. Lab & Supplies Management Manage urinalysis workflow and supplies (prepare samples, track inventory, place orders upon approval or instruction, coordinate UPS pick-up). Maintain overall office inventory and supplies (forms, stationery, equipment), and order items as needed with approval or following instructions. 6. Communication & Operational Support Serve as the primary point of contact for staff and clients at the front desk. Prepare routine or requested reports for management. Manage timecard system operations and prepare timecard reports twice monthly Maintaining required spreadsheets and monthly monitoring reports Handling correspondence related to school-based services Facilitate communication and problem-solving to support client satisfaction. Ensure security, confidentiality, and integrity of all data. Create and post internal notices and informational flyers (e.g., holiday closures, office updates, program reminders) for clients and staff.
