Answer multi-line phone systems promptly and professionally, directing calls efficiently and taking accurate messages. Manage appointment scheduling and calendar coordination using productivity software and calendar management tools. Handle incoming and outgoing correspondence, including emails, mail, and packages, with attention to detail. Maintain organized filing systems, data entry records, and spreadsheets to support office operations. Assist with clerical tasks such as proofreading documents, preparing Word processing files, and updating client information in databases like QuickBooks. Support office management duties including inventory tracking, supply ordering, and general administrative support to staff. Requirements Proven office experience with strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and productivity software. Excellent computer literacy with the ability to perform data entry accurately and efficiently. Strong customer service skills with professional phone etiquette and effective communication abilities in a bilingual environment preferred. Experience operating multi-line phone systems and handling front desk responsibilities confidently. Ability to multitask effectively in a fast-paced environment while maintaining high productivity levels. Previous experience with office management tasks such as filing, calendar management, or personal assistant duties is highly desirable.
