The Receptionist serves as the first point of contact for clients, visitors, and callers, providing professional reception and administrative support. Responsibilities include answering and routing incoming calls, greeting clients and guests, notifying attorneys and business professionals of visitor arrivals, and supporting conference room and office operations as needed.
Responsibilities:
Greet clients and visitors, notify attorneys and/or business professionals of their arrival, and ensure guests are escorted or directed to the appropriate meeting room Provide hospitality and a welcoming experience for visitors while in the reception area Coordinate visitor arrivals, building access, guest registration, and visitor office setup, as appropriate Answer incoming calls, provide general non-legal information, route calls to the appropriate individual, and transfer calls to other Foley offices as needed Review and forward messages received through the after-hours voicemail system Maintain a general knowledge of the firm and its legal practice areas and know to whom calls and inquiries should be directed Monitor Maptician and review daily conference room and visitor office reservations to support meeting space readiness and appropriate room utilization Assist with same-day conference room reservation requests, changes, and cancellations; coordinate with Hospitality, Technology, Office Services, and other support teams as appropriate Coordinate catering requests and related meeting support, as needed Monitor conference rooms daily to ensure they are presentable and ready for scheduled meetings Maintain the reception, conference center, switchboard, and other guest-facing areas in a professional, neat, and orderly condition Validate guest parking, as appropriate Distribute visitor arrival notifications and related communications, as appropriate Notify building management of maintenance issues, as needed Sign for and route incoming express deliveries, courier packages, and hand-delivered mail Coordinate with Office Services regarding visitor office scheduling, setup, and readiness for upcoming guests Maintain and update visitor office welcome information Monitor the reception and conference center areas for safety, security concerns, or emergencies, and notify appropriate internal personnel, building management, or emergency services as necessary
Qualifications:
High School Diploma or equivalent required Minimum of one (1) year of customer service or administrative experience required; prior law firm or professional services experience preferred Experience with a high volume telephone system preferred Demonstrated customer service orientation, with a professional, welcoming, and responsive approach to clients, visitors, and colleagues Demonstrated ability to exercise sound judgment, discretion, and professionalism when interacting with clients, attorneys, business professionals, and external visitors

The actual amount offered will be between the range minimum and midpoint based on the following factors: education, experience, geographic market, and internal pay equity at Foley.
