Key Responsibilities Patient & Office Management:
Warmly greet and welcome patients and visitors upon arrival. Answer and manage incoming calls, scheduling, confirming, and rescheduling patient appointments efficiently. Manage patient registration, ensuring all necessary forms (e.g., medical history, consent) are completed and accurately filed. Maintain and organize patient charts and electronic health records in compliance with privacy regulations (e.g., HIPAA). Process and accurately record payments, issue receipts, and manage the daily reconciliation of transactions. Maintain the cleanliness and organization of the reception area. Help clinical staff with bringing patients back or sterilization as needed
Billing & Insurance:
Verify patient dental insurance eligibility and benefits prior to treatment. Prepare and submit dental claims to insurance companies electronically or by mail. Provide patients with clear explanations of their financial responsibilities, co-pays, and estimated out-of-pocket costs.
Administrative Support:
Manage the office email correspondence and coordinate internal communications. Assist in maintaining a practice schedule to optimize flow and productivity. Perform general administrative duties such as filing, scanning, and faxing. Collaborate with team members to ensure smooth office operations Additional tasks as assigned
Qualifications Required:
High School Diploma or equivalent. Proven experience in customer service or an administrative roles. Good interpersonal skills to maintain effective rapport with patients, dentists, other team members, and community Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Preferred:
1-3 years of experience as a Dental Receptionist in a dental office setting. Familiarity with dental terminology, procedures, and coding (CDT codes). Experience with dental practice management software Knowledge of dental insurance procedures and billing practices.
