POSITION SUMMARY:
Serve as the welcoming first point of contact while supporting the Center Director with administrative and organizational tasks, helping ensure a smooth operation and a high-quality Pre-K learning environment.
QUALIFICATIONS
Any combination of education and experience equivalent to an associates degree, supplemented by courses in business, mathematics and accounting with experience in general office work. Ability to establish and follow detailed work procedures and perform mathematical computations with speed and accuracy. Ability to organize and schedule workload in order to meet deadlines on a weekly basis. Demonstrate a thorough knowledge of standard office practices and procedures, equipment, and secretarial techniques. Experience working directly with individuals and families from diverse racial, ethnic, and socioeconomic backgrounds. Familiarity with equity and inclusion frameworks. Models non-discriminatory practices in all activities. Respects the worth, dignity and individual differences of others. Excellent written and verbal communication skills and the ability to present to diverse audiences to foster professional relationships and express and/or exchange ideas. Excellent interpersonal skills. Proficiency in the use of a variety of office/instructional equipment and technology with experience using Microsoft Office, Google Workspace, and email. Demonstrated leadership qualities and personal characteristics necessary for working effectively with students, teachers, administrators, and the community.
ESSENTIAL FUNCTIONS
Welcome all visitors to the school. Check in all visitors and ensure all visitors have passes. Perform all secretarial and clerical duties pertaining to the administrative functions of the school office, including: answering phones, monitoring and distributing incoming emails or voicemail messages as needed, sorting and distributing mail and packages, make copies or assist staff with paperwork, keep the office materials stocked (visitor badges, forms, etc.), maintaining student sign-in and sign-out logs, support with parent chaperone forms, secure transportation for field trips, communicate transportation changes with the transportation office, send or distribute school-wide messages as directed by administration, support substitute check-in procedures, support with bus radio in the morning and afternoon, help schedule meetings/appointments, provide directions, information, and assistance to new families, support families with enrollment and general program questions Support daily student attendance and dismissal by recording late arrivals and early dismissals, communicating arrival and dismissal updates to teachers, maintaining attendance notes from parents/guardians, ensuring staff have entered daily attendance, sending a talking points message to families when a student absence is reported, and assisting with transportation or dismissal changes, maintaining a spreadsheet tracking students who have missed 5 or more days Maintains a complete bookkeeping system for Elon Early Learning Center school and the division PreK program to include the receipt, deposit, disbursement and record of all monies received by the school. Maintains a financial filing system to include an accurate ledger from which a monthly balance sheet and an annual audit can be completed. Prepares and submits all monthly payroll for the school and PreK program to the Central Office. Assists with the Worker's Compensation process for the school and PreK program. Reconciles city financial statements with point-of-service deposit records. Sorts, proofs, and prepares material for posting. Checks and balances cash and negotiable instruments against receipted copies of bills. Prepares financial summary report of all accounts. Dispense medications, give first aid, take temperature, and record all on the nurse's log as needed. Enter Pre-K students into PowerSchool when ready for enrollment, create cumulative files and enter all students into PowerSchool for all Pre-K students including Elon, Bluestone, and Community Partners, verify that all student information and codes in PowerSchool are accurate and complete Takes all industry standard precautions to protect students, staff, equipment, materials, and facilities. Maintains appropriate state licensure; assumes responsibility for and participates in staff development (professional growth) and training to keep materials, supplies, and skills up-to-date. Follows appropriate safety procedures and properly maintains equipment. Actively participates in and attends all required meetings. Maintains confidentiality when appropriate. Complies with and supports school division policies, regulations, procedures, and the HCPS Strategic Plan. Effectively performs other duties as assigned by the immediate supervisor.
PHYSICAL DEMANDS / WORK ENVIRONMENT
Light work, lifting up to 25 pounds occasionally, and/or up to 10 pounds frequently. Regular travel throughout the school and effectively interact with students, staff, and community members. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; and subject to inside and outside environmental conditions. Regular contact with staff members and students is required. Not substantially exposed to adverse environmental conditions.
