Job Description

We are looking for an experienced Executive Assistant to support senior leadership for an educational organization in Flint, Michigan. This contract-to-permanent position is ideal for someone who can manage shifting priorities, maintain a detail-oriented front office presence, and keep executive schedules and meetings running smoothly. The role works closely with the Chief of Staff and President while coordinating across multiple leadership stakeholders. Success in this position requires sound judgment, strong organizational skills, and the ability to work independently in a fast-paced environment.
Responsibilities:
  • Manage complex calendars for the Chief of Staff, President, and multiple cabinet-level leaders, resolving scheduling conflicts and aligning meeting priorities.
  • Coordinate internal and external meetings, prepare logistics, and track action items so follow-up tasks are completed on time.
  • Organize events and executive gatherings, ensuring spaces, materials, and scheduling details are prepared in advance.
  • Process purchase orders and handle ordering of office or event-related supplies as needed.
  • Arrange occasional travel plans for leadership, including itinerary coordination and related scheduling details.
  • Welcome visitors and incoming guests with courtesy while helping maintain an orderly and presentable reception and meeting environment.
  • Monitor building entry activity and verify that visitors are approved before access is granted.
  • Review monthly board meeting proceedings and capture key decisions, discussion points, and follow-up responsibilities for leadership awareness.
