Position Summary The Front Desk Receptionist is an integral member of the Administration team. The responsibilities include customer service to residents, visitors, vendors, and staff; answer and direct all incoming calls with a consistently high level of customer service; complete clerical tasks efficiently, distribute and deliver mail and other correspondence; screen and assist visitors properly at entry. Performs in accordance with established procedures, and as directed by supervisor. Primary Responsibilities Greets all residents, visitors, vendors, and staff in warm and friendly manner and provide information or other services, consistently demonstrating a high level of customer service. Screens all visitors following company policy Accurately and efficiently perform basic clerical duties such as typing, filing, updating data bases, completing work orders, registering participants for transportation and activities etc. Answer all incoming calls and check for messages in the machine re-directing as appropriate. Complete assigned projects for various departments as needed; such as newsletters, flyers, collating packets, stuffing envelopes, updating bulletin boards, data entry, making phone calls, etc. within needed time frame. Receive/distribute incoming mail and correspondence including delivery to resident's apartments as needed and as directed; assist with preparation and distribution of outgoing mail. Remain at reception desk at all times unless a relief person is present, adhering to established department procedures. Support staff and management in developing a sense of teamwork and cooperation with willingness to contribute as needed or assigned. Maintain confidentiality of all residents and staff information, strictly adhering to HIPAA requirements with regard for the dignity and respect of all persons. Perform duties that involve frequent and close contact with residents without sharing personal problems or work-related concerns in front of residents and visitors. Work independently with minimal supervision, responding to urgent needs and prioritize competing demands and multiple requests in courteous and calm manner. Uphold the values of The Redwoods and adhere to all Redwoods policies, conduct and dress standards. Follow posted schedule and adhere to department standards regarding any changes. Attend staff meetings and in-service training as required. Other duties as assigned. Minimum Qualifications Excellent customer service skills both in person and on the phone. High degree of personal integrity, ability to maintain confidentiality and to interact with a variety of people with courteous and professional demeanor. One year of office assistant or reception experience preferred working with basic office equipment and skills such as typing, filing, working with multi-line phone system, photocopier etc. High school diploma or equivalent. Demonstrated knowledge of Microsoft word processing, Windows XP, spreadsheets, web-based applications. Ability to effectively communicate in English, both verbally and in writing with accurate spelling and grammar. Able to appreciate and meet the communication needs of older adults with an awareness of volume, pacing, and with the ability to remember names. Ability to prioritize work load and make decisions independently, maintaining the best interest of residents at all times. Flexibility and willingness to work special events or called-back during emergency conditions (e.g. severe weather, evacuation, etc.). Accusheild, PCC, WorxHub and MatriCare experience preferred. Required language
  • English, Bilingual (English/Spanish) preferred.
PHYSICAL REQUIREMENTS
  • Ability to sit for up to 2 hours at a time; ability to bend, straighten, and walk reasonable distances throughout the work day.
  • Able to lift and or move up to 10lbs and occasionally lift/move up to 25 lbs.
