We're looking for a warm, detail-oriented Patient Care Coordinator to be the heartbeat of our front office and ensure every patient feels cared for from start to finish.
Job Summary:
The Patient Care Coordinator is the first impression for our patients—responsible for guiding them through their journey with professionalism, empathy, and efficiency. This role supports both clinical and operational functions, helping maintain a smooth flow between patients, providers, and administrative tasks.
Key Responsibilities:
Welcome patients and provide an exceptional first impression—both in person and over the phone. Manage appointment scheduling and confirmations to ensure optimal provider flow and patient experience. Maintain accurate and confidential patient records, including treatment history and notes. Communicate pre- and post-treatment instructions and ensure patients feel informed and supported. Assist with payment processing, membership management, and promotional offers as needed. Collaborate closely with providers and the aesthetics team to ensure seamless patient care. Conduct follow-up calls and assist with review requests to maintain high patient satisfaction. Support marketing and patient engagement initiatives, including special events and promotions. Maintain an organized, professional front desk and uphold clinic standards for cleanliness and compliance.
Qualifications:
High school diploma or equivalent Prior experience in a medspa, dermatology, or healthcare setting strongly preferred. Strong communication and interpersonal skills with a natural ability to connect with patients. Highly organized and capable of managing multiple priorities in a fast-paced environment. Tech-savvy; comfortable using EMR systems, Microsoft Office, and scheduling platforms.
