About Us We are a warm, welcoming, and relationship-based private pediatric dental practice in Rockville, MD. We opened our doors in June 2020, so our office is modern and yet designed with nostalgic touches and a calming color scheme and decor. Our team is dedicated to providing a positive, engaging, and anxiety-free dental experience for children and their families. We value preventive and minimally invasive treatment approaches whenever possible, and we have a strong focus on pediatric growth and development, helping to create healthy smiles for life. The key to success is timely intervention and doing the right things at the right time for the best outcomes. We are looking to have the most meaningful impact on a child's current and future oral health. We are looking for an organized, friendly, hard-working and patient-focused Front Office Dental Administrator to be the face of our practice and keep our daily operations running smoothly. Position Overview As our Dental Administrator, you will manage the front desk, welcome our young patients and their parents, and handle the essential business details of the practice. The ideal candidate stays calm and focused, understands the dynamics of working with children and parents, and has great computer literacy (experience navigating Open Dental would be a great plus )

Key Responsibilities Patient Hospitality:

Greet children and parents warmly, check patients in/out, and manage/clean the waiting room environment.

Scheduling:

Coordinate and optimize the daily appointment book in Open Dental for different appointment types while adhering to our scheduling guidelines.

Insurance Coordination:

Verify pediatric dental insurance benefits, submit claims, and follow up on pre-authorizations.

Billing & Collections:

Process copays, manage account balances, and discuss financial options or answer questions regarding the financials of treatment plans with parents.

Communication:

Answer phone calls, respond to emails, and use communication software to send messages and forms.

Compliance:

Maintain strict patient confidentiality in compliance with HIPAA guidelines.

Requirements & Qualifications Experience:

Minimum of 2 years of experience working in a dental front office, including handling insurance claims (pediatric dental experience is a major plus but not required). Will consider candidates in non-dental fields, as long as they possess the right qualities and relevant skills, such as previous leadership or supervisory roles.

Software:

Proficiency with Open Dental software is highly preferred. Proficiency with typing, overall computer fluency, Microsoft programs and Google tools is expected.

Communication Skills:

Excellent verbal skills with a calm, reassuring tone suitable for parents and children. Must be comfortable with written communication and use correct spelling, grammar, and punctuation for professionalism.

Detail-Oriented:

Strong organizational skills to manage billing, insurance data, and scheduling efficiently.

Team Player:

A positive attitude and a willingness to collaborate closely with our clinical team. It's critical to be able to own up to mistakes and learn from them.

Attitude:

Must have a "can do" mindset and able to acquire new skills to stay up to date with the changing landscapes of the digital world.

Compensation & Benefits Salary Range:

$58,000 - $70,000 total compensation package including benefits, based on previous experience and pay.

Bonuses & Incentives:

Eligible for an annual retention/loyalty bonus as well as potential quarterly bonuses based on office financials.

Paid training is included from day one, plus ongoing paid continuing education opportunities.

Work-Life Balance:

Stable, full-time position totaling 35-40 hours per week , Monday-Friday only, no late evenings, no weekends . See our website's office hours for details. You can expect to have a total of approximately 3-4 total weeks off annually, including most major holidays. Accumulation of PTO increases with each year of employment. Our office will always be closed on Thanksgiving, Day after Thanksgiving, Christmas Eve, Christmas Day, New Year's Day, 4th of July, & Labor Day, and those are paid days off for full-time employees.
