Overview Risk Program Administrators (RPA) is seeking a detail-oriented Account Support Specialist with strong database administration skills to support member insurance program operations, system accuracy, and member portal administration. This position is responsible for maintaining member, property, driver, vehicle, policy, valuation, and renewal data; coordinating annual and midterm updates; and ensuring the accuracy and integrity of insurance-related records across organizational databases and related systems. The Account Support Specialist serves as a technical and operational resource for pool members and internal teams, supporting accurate record-keeping, renewal and amendment processing, reporting, and member support through the organization's online member portal and database platforms. The ideal candidate will possess strong technical, organizational, and analytical skills, with the ability to manage large volumes of information while providing excellent service and support to members. How you'll make an impact Record-Keeping and Database Administration Enter, update, and maintain member property, driver, vehicle, policy and coverage data in organizational databases and pool management systems. Track member accounts, exposure data, covered driver lists, property schedules, vehicle records, and other program data used for reporting, underwriting, renewals, and claims administration. Review database records and member submissions for completeness, consistency, and accuracy; identify discrepancies and coordinate corrections with members, internal teams, and vendors. Maintain current insurance records, supporting documentation, and data files in accordance with program procedures and record retention expectations. Generate data extracts, spreadsheets, and operational reports to support member service, program administration, renewal analysis, and management review. Renewal and Amendments Coordinate and process annual renewal activities, including updates to insured values, unit counts, Section 8 counts, vehicle schedules, driver eligibility data, and other exposure information. Process policy updates, endorsements, declarations, certificates, invoices, vehicle additions and deletions, property changes, member valuation updates, and related midterm amendments. Maintain driver history reports, auto declaration records, property total insured value data, and renewal documentation needed for insurance consultants, carriers, members, and internal program leadership. Support premium invoicing, refund processing, valuation review, and transaction documentation by preparing accurate data and coordinating with accounting, vendors, consultants, and program staff. Prepare ad-hoc spreadsheets, renewal reports, and data summaries to support special projects, analysis, and year-end processing. Member, System, and Operational Support Provide professional support to members, employees, consultants, vendors, and internal teams regarding insurance records, member portal access, database information, and program administration processes. Assist members with online portal use, including account setup, login access, password resets, training, troubleshooting, and guidance on data submission requirements. Coordinate with database architects, technology providers, consultants, and internal stakeholders to resolve system issues, improve database functionality, and support enhancements to member-facing tools. Provide periodic updates to claims, adjusting, and program administration partners regarding additions, deletions, and changes to covered properties, drivers, autos, and related records. Support documentation management, general office administration, special projects, and other duties as assigned by program leadership. About You Associate's degree and/or 5 years of related experience, or High School Diploma/GED and 7 years of related experience. Experience in insurance administration, database administration, records management, or related operational functions. Strong attention to detail and data management skills. Strong customer service and relationship management skills. Experience working with business systems, databases, and reporting tools. Strong organizational and customer service skills. Ability to manage multiple priorities and deadlines.
Preferred:
Experience working with self-insured risk pools, insurance organizations, or member-based programs. Experience in administering online member portals or policy management systems. Property and casualty insurance experience. Experience producing operational reports and maintaining data integrity.
