Core Values Safety Quality Integrity Respect Teamwork Profit with Purpose Position Overview The Executive Administrator reports to the Chief Financial Officer / Chief Investment Officer and provides executive support to the CEO and CFO/CIO. This position is responsible for managing executive schedules, coordinating travel, supporting meetings and events, and overseeing the day-to-day operation of the corporate office. The Executive Administrator serves as the operational backbone of the office, ensuring leadership can remain focused on running and growing the business. This role requires exceptional organization, professionalism, discretion, and the ability to proactively manage multiple priorities with minimal direction. Key Responsibilities Manage executive calendars, scheduling, and meeting coordination for the CEO and CFO/CIO. Coordinate all business travel including flights, hotels, ground transportation, and itineraries. Prepare materials and coordinate logistics for board meetings, investor meetings, leadership off-sites, and company events. Handle confidential correspondence and executive communications with professionalism and discretion. Provide administrative support including document preparation, research, filing, mailing, and general office coordination. Oversee the day-to-day operation of the corporate office, ensuring a clean, organized, and professional environment. Manage office vendors, supplies, equipment, kitchen inventory, and facility needs. Coordinate visitor reception, incoming calls, and general office communications. Assist with expense reporting, basic invoice processing, and administrative recordkeeping. Maintain company contact lists, directories, and administrative documentation. Support onboarding logistics including workspace setup, equipment ordering, and access coordination. Required Qualifications 3+ years of experience supporting executives in an Executive Assistant, Executive Administrator, Office Manager, or similar administrative role. Excellent organizational, time management, and multitasking skills. Strong written and verbal communication skills. Ability to handle highly confidential information with professionalism and discretion. Proficiency with Microsoft Outlook and Microsoft 365, including Word, Excel, PowerPoint, and Teams. Strong attention to detail with the ability to anticipate needs and solve problems proactively. Ability to work independently in a fast-paced, professional environment. Preferred Qualifications Previous experience supporting C-suite executives. Experience in construction, engineering, professional services, or similar industries. Experience coordinating executive travel, meetings, and corporate events. Experience managing office vendors and day-to-day office operations.
