Operations Team Leader
Job Description
Job Summary We are seeking a service-oriented Operations Team Leader to lead, coach, and support our operations team across multiple locations. This role helps strengthen systems, improve workflows, support advisors and leadership, and ensure the team executes with clarity, accountability, and exceptional service. The ideal candidate is a trusted people leader with strong follow-through, sound judgment, and the ability to manage priorities in a fast-moving professional environment. Key Responsibilities Lead, coach, and develop the operations support team across multiple locations, setting clear expectations for service, communication, performance, and accountability. Support hiring process. Coordinate schedules, workload coverage, training, onboarding, one-to-one meetings, feedback, and performance reviews. Translate firm goals into actionable team plans, track priorities, resolve obstacles, and maintain strong operational documentation and playbooks. Partner with advisors and executive leadership to support firm initiatives, improve operations, and manage large projects from planning through follow-through. Ensure seamless delivery of all aspects of the client experience, including onboarding and client service. Demonstrate understanding and efficiency in operations tasks. Oversee efficient and accurate creation and processing of new account and client service forms. Manage CRM Optimization, including workflows. Lead team meetings by setting agendas, sharing minutes, assigning tasks, and tracking timelines. Improve systems, reporting, workflows, and communication rhythms using Microsoft Office, Excel, AI-enabled tools, and other technology resources. Model a positive, accountable, service-first culture and perform other duties as assigned. Provide concierge service for top-tier clients in person, in writing, and over the phone. Qualifications Professional people-leadership experience with the ability to coach, develop, communicate clearly, build trust, and hold team members accountable. Service-oriented mindset with strong judgment, follow-through, ownership, problem-solving, organization, time-management, and project-management skills. Comfort leading through change, managing competing priorities, improving processes, and moving objectives from idea to completion. Positive, solutions-based attitude and extraordinary client service orientation. Experience in financial services, operations support, client service, or professional services preferred; bachelor's degree preferred, though equivalent leadership, operations, or project-management experience will be considered. Proficiency with Microsoft Office, especially Excel, and openness to AI tools is expected.
