Review bid invitations, RFPs (Requests for Proposals), RFQs (Requests for Quotations), and project specifications. Collaborate with sales and operations teams to gather pricing, technical data, and project details. Prepare and compile bid documents, ensuring accuracy, completeness, and compliance with all requirements. Track deadlines and ensure timely submission of bids and proposals. Maintain an organized and up-to-date database of bids, contracts, and project documentation. Assist with contract review, negotiation support, and execution processes. Ensure all contracts comply with company policies and applicable legal and regulatory requirements. Communicate with clients, contractors, and vendors regarding bid clarifications and contract details. Monitor awarded contracts for compliance, renewals, and amendments. Support procurement and material coordination as needed (e.g., coatings, supplies, subcontractors). Analyze bid outcomes to identify trends and recommend improvements for future proposals. Qualifications Bachelor's degree in Business Administration, Construction Management, or a related field preferred. 2-5 years of experience in bids, contracts, or project coordination; paint, construction, or coatings industry experience preferred. Familiarity with coatings/paint products, specifications, and application processes is a plus. Experience with public and private sector bidding processes required. Skills & Competencies Strong organizational and time-management skills. High attention to detail and accuracy. Excellent written and verbal communication skills. Ability to manage multiple deadlines in a fast-paced environment. Proficiency in Microsoft Office (Excel, Word, Outlook). Experience with bid management or ERP software preferred. Analytical mindset with strong problem-solving abilities. Working Conditions Primarily office-based with occasional site visits or meetings. May require extended hours during peak bid periods. This position is onsite; regular in-person attendance is required. Key Performance Indicators (KPIs) On-time bid submission rate. Bid accuracy and compliance rate. Win/loss ratio of submitted bids. Contract processing turnaround time.
Pay:
$25.00 - $30.00 per hour
