Job Description
Position Summary:
The Logistics & Fleet Coordinator is responsible for planning, coordinating, and monitoring daily transportation operations while ensuring compliance, fleet maintenance, and efficient delivery performance. This role supports customer service, driver operations, and equipment management to ensure safe, timely, and cost-effective distribution. Must have DOT experience as well as good Excel skillsKey Responsibilities:
1. Daily Logistics & Dispatch Operations- Coordinate and schedule daily delivery routes and pickups
- Monitor drivers throughout the day and provide real-time support
- Adjust delivery schedules, returns, and order changes as needed
- Communicate changes with sales reps and document updates in the system
- Maintain accurate delivery notes, customer information, and route details
- Review dashboards to ensure all orders are scheduled appropriately
- Prepare and distribute daily route, pickup, and delivery issue reports ________________________________________ 2. Driver Support & Coordination
- Check in drivers at end of routes (PODs, payments, tax codes)
- Troubleshot delivery issues and escalate when necessary
- Maintain communication with drivers to ensure efficient operations
- Conduct driver-related training (Safety Tuesday, CORE training) ________________________________________ 3. Fleet & Equipment Management
- Review DVIRs daily and coordinate repairs as needed
- Schedule preventative maintenance (BIT inspections, CARB compliance)
- Maintain truck, trailer, and forklift inspection logs
- Track and log repair and maintenance costs (YTD reporting)
- Approve repair estimates and invoices within authority limits
- Maintain vehicle documentation (registrations, inspections, repair records) ________________________________________ 4. Compliance & Safety
- Monitor ELD logs to ensure compliance with hours-of-service regulations
- Ensure proper pre-trip and post-trip inspections are completed
- Verify driver logs align with payroll records
- Maintain compliance documentation for regulatory requirements ________________________________________ 5. Inventory & Order Support
- Manage order cancellations and material reallocation
- Coordinate with warehouse teams to locate and retag materials
- Maintain accurate system notes and documentation for all order changes
- Support RMA reporting and communication with receiving teams ________________________________________ 6. Administrative & Reporting
- Maintain purchase order logs and fleet cost tracking
- Generate reports related to delivery issues, pickups, and fleet expenses
- Process and submit invoices to accounting
- Maintain organized records for fleet and compliance documentation ________________________________________ Qualifications
- Experience in logistics, transportation, dispatch, or operations
- Strong organizational and multitasking skills
- Ability to problem-solve in a fast-paced environment
- Knowledge of DOT/ELD regulations (preferred)
- Strong communication skills with drivers, sales, and operations teams
- Proficiency in ERP systems and Microsoft Office ________________________________________ Key Competencies
