HVAC Office Manager / Dispatcher / CSR

Job Description

HVAC Office Manager/About the Role We are seeking an experienced and proactive HVAC Office Manager to oversee our administrative operations, streamline workflows, and lead our customer support team. In this pivotal role, you will manage day-to-day office functions, supervise dispatch and administrative staff, oversee bookkeeping, and optimize operational efficiency to ensure high-quality service delivery.
Schedule & Location Work Hours:
Monday - Friday, 8:00 AM - 5:00 PM (Full-Time)

On-site Key Responsibilities Office Leadership & Operations:
Supervise front-office administrative staff, oversee daily operations, and establish efficient office policies and procedures.
Financial & Accounting Management:
Manage daily bookkeeping using QuickBooks, including accounts receivable/payable, invoicing, billing, and financial recordkeeping.
Dispatch & Scheduling Oversight:
Oversee dispatch workflows, optimize technician routing using service management software, and resolve scheduling conflicts or escalated issues.
Inventory & Vendor Logistics:
Oversee parts inventory tracking, manage relationships with suppliers, and monitor equipment orders to ensure project deadlines are met.
Customer Relationship Management:
Serve as an escalation point for complex customer inquiries, ensuring prompt, professional service recovery and strong client satisfaction.
Qualifications Experience:
3+ years of office management experience, preferably in HVAC, plumbing, electrical, or home services trades.
Software Requirements:
QuickBooks proficiency is required. Hands-on experience with FieldEdge (or similar trade dispatch/CRM software) is a strong plus.
Technical Skills:
High proficiency in Microsoft Office Suite (Excel, Word, Outlook) and basic office software platforms.
Leadership & Organization:
Strong leadership capabilities, exceptional organizational skills, and a proven ability to prioritize tasks in a fast-paced environment.
Communication:
Excellent verbal and written communication skills with strong problem-solving and conflict-resolution abilities.
