Under the supervision of the Operations Manager, the Dispatcher is responsible for coordinating daily transportation operations and communicating with drivers, school district personnel, parents, and company staff. The Dispatcher will help ensure that daily routes, field trips, athletic events, extracurricular activities, and other transportation services are properly staffed and operated safely and efficiently. This position requires strong communication, organization, problem-solving, and customer service skills. The Dispatcher will regularly handle sensitive and confidential information and must exercise sound judgment, professionalism, and discretion. Key Responsibilities Communicate with schools, parents, drivers, monitors, and aides regarding daily transportation operations. Answer telephone inquiries and communicate with drivers using two-way radio systems. Ensure employees report to work as scheduled and complete required paperwork. Ensure all vehicles are properly staffed each day and assign substitute drivers as needed. Plan, schedule, and assign drivers for field trips, athletic events, public charters, and other special transportation. Observe and track route timing and assist with developing routes, bus loads, bus stops, and schedules when needed. Read, understand, and follow established school district contracts and transportation requirements. Communicate with schools regarding calendars, complaints, bus incidents, and routing changes. Report concerns, violations, accidents, or other operational issues to the Operations Manager or Supervisor. Maintain accurate records and submit required reports, including complaints, accidents, routing changes, vehicle mileage, fuel consumption, inspections, and other documentation. Assist the Fleet Maintenance team with scheduling vehicle maintenance and repairs, invoice coding, and recordkeeping. Work closely with Operations, Safety, Training, and Fleet Maintenance departments. Assist with emergency situations and weekend coverage as needed. Drive a school bus or other company vehicle when needed. Assist management with monthly billing, payroll, accounts receivable, accounts payable, and month-end requirements. Assist with driver recruitment efforts to maintain adequate staffing for daily routes and substitute coverage. Assist management with driver disciplinary matters and annual road test evaluations. Help ensure drivers complete required training and participate in driver safety meetings. Assist with developing charter business during non-school days and summer months. Assist management with other operational duties as assigned. Follow all company policies and applicable state and federal regulations. Required Skills & Qualifications Excellent customer service and interpersonal skills. Strong verbal and written communication skills. Intermediate computer skills, including Microsoft Office. Ability to learn and effectively use new systems, software, and technology. Strong organizational skills and the ability to prioritize multiple tasks. Ability to work effectively in a fast-paced environment. Ability to understand and follow oral and written instructions. Strong problem-solving and decision-making skills. Ability to establish and maintain effective working relationships with supervisors, coworkers, drivers, school personnel, and the public. Knowledge of applicable federal and state transportation regulations is preferred. Proficient reading, writing, grammar, and mathematics skills. Ability to maintain confidentiality when handling sensitive information. Ability to successfully pass required background checks. Must have a safe driving record. Must be at least 21 years of age with at least 3 years of driving experience . Must have a valid CDL with Passenger and School Bus endorsements or be willing and able to obtain the required CDL within 6 months of hire . Must meet all state-required licensing, physical examination, and certification requirements. Ability to safely operate assigned vehicles and related equipment, which may include wheelchair lifts and air brakes. Ability to perform the essential functions of the position. Reliable and dependable attendance is required. Education & Experience High school diploma or equivalent required. At least 1 year of customer service experience preferred. Six months to one year of related experience and/or training preferred, or an equivalent combination of education and experience. Previous dispatch, transportation, school bus, logistics, or operations experience is a plus. Valid CDL with Passenger and School Bus endorsements is preferred, but qualified candidates who are willing to obtain their CDL within 6 months of hire will be considered. Work Environment & Physical Requirements Ability to work in a transportation operations environment. May occasionally work outdoors and be exposed to heat, cold, wet, and/or humid weather conditions. The noise level in the work environment may be moderately loud. May be required to work weekends or be on-call for emergencies as needed. May be required to travel to other company facilities based on operational and business needs. Ability to safely perform all essential job functions.
