Job Description

I've incorporated the field-to-management transition and the additional operational requirements while keeping the ad attractive to someone with real HVAC experience.
EXPERIENCED HVAC DISPATCHER / SERVICE COORDINATOR WANTED
Long Island-Based Suffolk County Company — In-Person Position A growing, established Long Island-based Suffolk County HVAC company is seeking an experienced HVAC Dispatcher / Service Coordinator to join its commercial service operation. We service 5-star luxury mid-rise and high-rise buildings throughout New York City and the surrounding market , supporting sophisticated commercial HVAC systems and demanding clientele. This is not an entry-level position . We are looking for someone who understands the pace, pressure, organization, communication, and follow-through required to keep a professional HVAC service department moving.
READY TO GET OFF THE TOOLS BUT STAY IN THE HVAC INDUSTRY?
This is an excellent opportunity for an experienced HVAC service technician, field professional, foreman, or service supervisor who is ready to take the next step into service management and operations. We are looking for someone who understands HVAC from the field up and can bring that experience into coordinating technicians, customers, scheduling, materials, service calls, and the overall daily operation of a busy service department. Your field experience matters. Understanding what a technician encounters in the field, how long work should take, what materials may be required, where to obtain them, and how jobs should flow from beginning to completion is extremely valuable in this position.
WHAT WE'RE LOOKING FOR
The ideal candidate will have: HVAC service or HVAC dispatching experience Strong working knowledge of HVAC equipment, terminology, service calls, and repair processes Knowledge of New York City and all five boroughs is required Ability to coordinate technicians, customers, emergency calls, parts, materials, and daily scheduling Experience with Service Fusion or ServiceTitan Familiarity with ESC, Desco, or similar HVAC/service-management software Strong computer, telephone, organizational, and communication skills Ability to work effectively in a fast-paced environment Ability to multitask, prioritize, problem-solve, and manage multiple service calls simultaneously A strong understanding of workflow, process, accountability, and follow-through The ability to work closely with technicians, office staff, customers, vendors, and management as part of a team
CANDIDATE MUST BE FAMILIAR WITH
Preventative maintenance programs and scheduling HVAC service duties and service-call procedures Technician time tracking and labor management Flat-rate manuals and service pricing Spreadsheets and basic data tracking HVAC supply houses, distributors, and parts procurement Geographic routing and efficient technician scheduling Coordinating return visits, parts orders, follow-up work, and job completion Maintaining accurate service documentation and keeping jobs moving through the system We need someone who can see and understand the entire service operation—not simply answer phones and schedule appointments. You should understand how a service call moves from the initial customer request through: Dispatch → Technician Assignment → Diagnosis → Parts Procurement → Pricing/Approval → Return Visit → Completion → Documentation → Invoicing Most importantly, you must understand flow and process . The right person should be able to look at a busy service board, understand what is happening in the field, recognize priorities, anticipate problems, and keep technicians and jobs moving efficiently throughout the day.
TRAINING & OPPORTUNITY
Training is available for the right individual. We do not expect every qualified candidate to have experience with every software platform or every internal procedure. For someone with the right HVAC foundation, field knowledge, work ethic, organizational ability, and understanding of service operations , we are willing to provide training in our specific systems and processes. This position offers an opportunity to transition from the field into an operational and management role and grow with an expanding commercial HVAC service organization.
SCHEDULE
Monday through Friday 8:00 AM to 4:30 PM Interaction with the on-call service operation is required , although after-hours involvement is expected to be minimal .
COMPENSATION & BENEFITS
We offer excellent compensation for the right experienced candidate , along with a comprehensive benefits package including: Health Insurance / Healthcare Benefits Dental Insurance Optical / Vision Coverage 401(k) Performance-Based Bonus Incentive Opportunity for advancement into greater service-management responsibilities A fast-paced, professional, team-oriented work environment
POSITION LOCATION
Long Island — Suffolk County This is a full-time, in-person position. If you are an experienced HVAC dispatcher, service coordinator, technician, foreman, or field service professional who knows New York City and the five boroughs , understands the HVAC service industry, and is ready to take greater responsibility for people, scheduling, workflow, and service operations, we want to speak with you. We are looking for someone who can stay ahead of the day instead of reacting to it —someone who understands the field, understands the customer, understands the process, and takes ownership of getting the job done. If you have spent your career working in HVAC service and are ready to move into the next phase of your career, this may be the opportunity you have been looking for. The "stay ahead of the day instead of reacting to it" line is especially strong for this position because it separates a true service coordinator/manager from someone who simply dispatches calls.
