Non-Exempt About the Role We're seeking a hands-on Facilities Coordinator to support building maintenance, vendor coordination, and facility improvement projects across company locations. This role combines general maintenance work with project and vendor management, making it a great fit for someone who enjoys variety and problem-solving. What You'll Do Facility Maintenance Perform general building maintenance and repairs, including painting, drywall repair, patching, touch-up work, and general carpentry Handle minor plumbing, electrical, hardware, and mechanical repairs within scope of experience Repair and adjust doors, locks, shelving, gates, fixtures, and furniture Install office equipment, shelving, artwork, signage, and miscellaneous fixtures Perform minor asphalt, concrete, and building repairs Conduct routine facility inspections to identify maintenance needs and safety concerns Respond promptly to maintenance requests from employees and management Perform preventative HVAC maintenance, including filter replacement and condensate line draining Maintain company tools and maintenance equipment Grounds & Property Maintenance Coordinate or perform landscaping and exterior property upkeep Maintain appearance of parking lots, walkways, loading areas, gates, and exterior spaces Assist with seasonal facility improvements and beautification projects Vendor & Contractor Coordination Coordinate work performed by outside vendors, including electricians, plumbers, HVAC technicians, welders, and general contractors Schedule repairs, installations, inspections, and preventative maintenance services Obtain vendor quotes and assist with contractor selection Monitor contractor performance for safety, timeliness, and quality Maintain contractor contact information, insurance certificates, and compliance documentation Project Coordination Coordinate facility improvement, renovation, installation, and construction projects from planning through completion Schedule deliveries, materials, equipment, and subcontractors Monitor project timelines and communicate updates to management Maintain project documentation, including work orders, permits, invoices, and purchase orders Track project expenses and support budget management Assist with project closeout, final inspections, and documentation Administrative Maintain maintenance logs and preventative maintenance schedules Track facility repair requests and work orders Maintain inventory of maintenance supplies, tools, and equipment Prepare reports and provide project updates to management Support procurement of maintenance materials and equipment Safety & Compliance Ensure facilities remain compliant with company safety standards and applicable regulations Identify and report safety hazards promptly Follow OSHA guidelines and company safety procedures Participate in required safety training and maintain applicable certifications What We're Looking For 2+ years of experience in facilities maintenance, building maintenance, construction, or a related field Experience with painting, drywall, carpentry, general repairs, and preventative maintenance Construction background Ability to coordinate multiple maintenance requests and projects simultaneously Strong organizational and communication skills Basic computer skills, including Microsoft Office Valid California Driver's License with ability to travel between company locations Ability to lift up to 50 lbs and work on ladders, climb stairs, bend, kneel, and stand for extended periods Preferred Experience managing vendors and contractors Knowledge of HVAC systems, building maintenance, OSHA standards, and preventative maintenance programs Bilingual (English/Spanish) preferred Core Competencies Integrity and professionalism, strong work ethic, initiative and accountability, organization and attention to detail, problem-solving skills, customer service orientation, effective communication, time management, teamwork, adaptability, safety awareness, and sound judgment.
