Job Description

Description We are looking for a proactive Facilities Coordinator to support daily workplace operations and deliver a welcoming, well-organized environment for employees, guests, and vendors. This is a Contract position focused on coordinating room setups, hospitality support, front-of-house assistance, and overall workplace readiness while partnering closely with the Workplace Manager. The ideal candidate brings strong customer service skills, sound judgment, and the ability to stay organized in a fast-paced setting that requires both independent initiative and teamwork.
Responsibilities:
  • Partner with the Workplace Manager each day to confirm space needs, service priorities, and event-related operational requirements.
  • Prepare meeting rooms and shared spaces by arranging layouts, setting up hospitality items, and confirming that food and beverage service is ready as scheduled.
  • Monitor front-of-house, café, and common areas to maintain a well-kept environment and respond quickly to guest or employee needs.
  • Observe vendor activity on site and escalate service concerns when performance, quality, or timing do not meet expectations.
  • Conduct routine walkthroughs to verify that workplace areas are clean, stocked, functional, and aligned with service standards.
  • Assist front-of-house staff with visitor support, check-in activity, and hospitality-related requests during the day.
  • Coordinate operational details tied to events so spaces, guest flow, and supporting services are in place before activities begin.
  • Contribute feedback after events or daily operations to help improve service consistency, workplace procedures, and overall experience. Requirements
  • 2-4 years of experience in facilities coordination, workplace operations, hospitality support, or a related environment.
  • Demonstrated ability to provide attentive customer service and communicate effectively with employees, guests, vendors, and internal teams.
  • Comfortable working independently, taking initiative, and contributing positively as part of a team.
  • Ability to lift and move items up to 50 pounds as needed for room setups, supplies, or hospitality support.
  • Working knowledge of Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Strong organizational skills with the ability to manage multiple priorities, follow procedures, and maintain attention to detail.
  • Familiarity with vendor coordination, operational compliance, and workplace service standards is preferred.
