Facilities Coordinator Job Description The Facilities Coordinator leads day-to-day facilities operations to ensure a safe, efficient, and well-maintained workplace. This role manages work orders, vendors, and building systems while supporting space planning, environmental health and safety programs, and small facilities projects. The Facilities Coordinator collaborates closely with internal teams and external partners to deliver reliable building services and an excellent workplace experience. Responsibilities Lead day-to-day facilities operations, including work order management, routine inspections, asset tracking, and timely escalation of maintenance and safety issues. Coordinate vendors and contractors across all building services, ensuring high-quality service delivery, proper documentation, and accurate review of invoices. Support space planning and workplace changes, including moves, additions, and changes, by partnering with IT, HR, and Security to ensure smooth execution and minimal disruption. Maintain environmental health and safety (EHS), compliance, and security programs by conducting safety walkthroughs, supporting emergency preparedness efforts, and maintaining required documentation. Manage workplace services and supplies, including ordering, inventory tracking, and vendor coordination to support daily business operations. Oversee small facilities projects from planning through completion, ensuring they meet quality, safety, and schedule expectations. Support reporting and key performance indicators (KPIs) for facilities operations, ensuring operational data integrity and accurate record keeping. Collaborate with internal teams, vendors, and stakeholders to resolve facilities issues promptly and provide a high level of customer service. Monitor building and facility systems and coordinate appropriate maintenance or repairs as needed. Essential Skills 5+ years of experience working with building and facility systems. Strong organizational and coordination skills with a high level of attention to detail. Effective written and verbal communication skills to coordinate with internal teams, vendors, and stakeholders. Proficiency with Microsoft Office tools, including Microsoft Teams and SharePoint. Experience in facilities maintenance and facilities management. Customer service mindset with the ability to support internal stakeholders and building occupants. Experience with vendor management and coordination of building services. Knowledge of building systems such as HVAC, electrical, plumbing, and life safety at an operational level. Ability to manage multiple tasks and priorities in a dynamic facilities environment. Additional Skills & Qualifications Hands-on experience with HVAC systems, electrical systems, plumbing, life safety, and other building systems. Experience in project management related to facilities or workplace initiatives. Familiarity with asset tracking, work order systems, and facilities-related documentation. Exposure to EHS, compliance, and security programs, including safety walkthroughs and emergency preparedness. Comfort working closely with cross-functional teams such as IT, HR, and Security. Work Environment This role is based on site in the Chicagoland area and requires regular presence at a corporate headquarters Monday through Friday. Additional on-site attendance may be required to support operational or safety needs, particularly during critical maintenance activities or emergencies. The Facilities Coordinator works in an office and building operations environment, interacting frequently with building systems such as HVAC, electrical, plumbing, and life safety equipment, as well as standard office technologies including Microsoft Teams and SharePoint. The position involves regular coordination with internal departments and external vendors within a professional corporate setting. Job Type & Location This is a Permanent position based out of Des Plaines, IL. Pay and Benefits The pay range for this position is $31.00 - $39.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
