POSITION PURPOSE
The Project & Facilities Coordinator plays a critical role in supporting the execution of strategic initiatives, operational improvements, and facilities-related activities across the Credit Union. The primary focus of this position is project coordination and project management support. The role is responsible for coordinating projects from initiation through completion, ensuring alignment with organizational goals, timelines, budgets, and stakeholder expectations. Under the direct supervision of the Director of Project Management and Core Technologies, the position coordinates facility-related activities, including maintenance scheduling, vendor communication, preventive maintenance tracking, and office improvement projects, in collaboration with the Chief Operating Officer, Director of Branch Management, vendors, and other stakeholders. The Project & Facilities Coordinator contributes to the development of project management standards, continuous process improvement initiatives, and operational efficiencies while helping ensure Credit Union facilities remain safe, functional, and professional.
POSITION RESPONSIBILITIES
Project Execution & Oversight Lead and coordinate multiple projects across departments, ensuring timely completion within defined scope and organizational objectives. Develop and maintain project plans, timelines, milestones, task assignments, dependencies, and implementation schedules. Monitor project progress and proactively identify and address delays, issues, risks, and roadblocks. Coordinate project meetings, status updates, action item tracking, and stakeholder communications. Ensure projects are effectively transitioned to business owners and operational teams upon completion. Track project deliverables and maintain project accountability across departments. Assist in managing project budgets, vendor timelines, and implementation resources as assigned. Strategic & Operational Support Collaborate with leadership to establish project management standards, tools, and methodologies. Support the continued development and maintenance of a scalable project management framework. Assist with identifying opportunities for operational improvement, automation, and process efficiency. Participate in organizational initiatives that support strategic goals and member service enhancements. Assist departments in documenting workflows and implementing process improvements. Stakeholder Engagement Serve as a liaison between departments, vendors, contractors, and leadership teams. Ensure clear communication regarding project goals, expectations, risks, and timelines. Coordinate stakeholder input and feedback throughout project lifecycles. Build strong working relationships that facilitate successful project outcomes. Documentation & Compliance Maintain accurate project documentation, schedules, reports, meeting notes, and implementation records. Ensure project-related documentation is current, organized, and available for audit or review purposes. Assist with departmental reporting and operational documentation requirements. Support compliance with internal policies and procedures related to projects and operational initiatives. Facilities Coordination Coordinate routine maintenance requests and facility service needs across branch and administrative locations. Track preventive maintenance schedules and facility improvement projects. Maintain facility records, warranties, maintenance logs, and vendor service documentation. Collaborate with the COO and Director of Branch Management on facility planning, office relocations, space utilization projects, and branch improvement initiatives. Monitor facility conditions and communicate repair or improvement recommendations to leadership as needed.
Note:
Strategic facilities planning, lease negotiations, property management decisions, capital projects, and facilities budgeting remain the responsibility of the Chief Operating Officer and Director of Branch Management.

Projects are consistently completed within established timelines and successfully transitioned to project owners. Project documentation, records, and status reports are accurate, complete, and timely. Operational improvement initiatives are effectively coordinated and implemented. QUALIFICATIONS
Education/Certification:
Associate's Degree or Bachelor's Degree preferred in Business Administration, Project Management, Operations, Facilities Management, or a related field.
Experience Required:
2-5 years of project coordination, project management, operations, facilities coordination, or related experience preferred. Credit Union or financial institution experience preferred. Experience managing multiple priorities and coordinating cross-functional initiatives preferred.
