Associate Facilities Coordinator Wilmington, DE Monday to Friday 8:00 am to 5:00 pm Hybrid •The position will be fully onsite 5 days per week for the first 90 days and then hybrid scheduled of three days in office and two days' work from home We are seeking a proactive and detail-oriented Facilities Coordinator - Americas, to provide hands-on and remote support across multiple office locations. This role will ensure the smooth operation of facility-related services, including maintenance, vendor coordination, health & safety compliance, and space management. The ideal candidate will have experience in multi-site facilities management and the ability to liaise with different teams and vendors across the Americas region. The Facilities Coordinator will report to the Team Leader and will be required to travel occasionally based on business needs. Some of the things you will be doing: Vendor & Stakeholder Management Liaise with external suppliers, contractors, and service providers to manage facility contracts and performance. Collaborate with internal teams, including ET, HR, and Finance, to align facilities support with business objectives. Monitor service level agreements (SLAs) and address any vendor-related issues. Remote Facilities Support & Coordination Provide remote assistance to various office locations, addressing facilities-related issues and coordinating solutions. Act as the main point of contact for offices requiring support with office services, security, or maintenance requests. Maintain facilities-related records, ensuring all documentation is up to date and accessible. Health, Safety & Compliance Ensure all sites comply with local health & safety regulations and company policies. Conduct or coordinate periodic inspections and risk assessments to maintain a safe working environment. Support emergency preparedness initiatives, including fire safety, evacuation plans, and first aid readiness. Space & Office Management Assist in managing office layouts, desk allocations, and meeting room functionality. Support office moves, expansions, and consolidations by coordinating logistics and resources. Ensure all workspaces are well-maintained and meet employee needs for productivity and comfort. Facilities Operations & Maintenance Oversee day-to-day facility operations, ensuring all locations function efficiently and meet workplace standards. Coordinate and support general maintenance, repairs, and servicing of office infrastructure across Americas sites. Work closely with vendors and contractors to ensure timely completion of facility-related tasks. What technical skills, experience, and qualifications do you need? Exposure and understanding of facilities operations, workplace management, or a related field, preferably in a multi-site or regional role.
Technical Knowledge:
Understanding of building maintenance, health & safety regulations, and office operations.
Problem-Solving:
Ability to troubleshoot facility-related issues and provide practical solutions.
Communication:
Strong verbal and written communication skills, with experience in liaising with remote teams.
Technology Proficiency:
Comfortable using facilities management software and remote collaboration tools (e.g., Microsoft Teams, ServiceNow, FM Systems).
Project Coordination:
Ability to manage small-scale office projects, relocations, and upgrades.
Languages:
