Service Department Coordinator Brightree Specialist TotalCare - 3.0 Tyler, TX Job Details Full-time $19 - $21 an hour 9 hours ago Benefits Parental leave Qualifications Sourcing Spreadsheets High school diploma or GED Patient registration Managing patient records Accounting support Quality data entry Full Job Description Service Department Coordinator , Office personel Must Have Experience With Brightree Duties/Responsibilities Oversee and execute all MCO, Spend Down, Direct facility Rental, and Purchase Orders, ensuring processes are completed accurately, efficiently, and within required timeframes. Maintain and update all require documentation in Brightree including account numbers, notes, and patient order information, ensuring entries are accurate and completed daily or weekly as required. Manage and maintain all tracking tools related to MCO, Spend Down, Direct Facility Rental, and Purchase Orders, including weekly numbers spreadsheets and outstanding reports, ensuring they are worked, updated, and distributed accurately and on time. Run and review outstanding reports multiple times throughout the week to ensure accuracy and timely movement of all accounts. Proactively follow up with facilities, families, and representatives to drive consistent forward progress until resolution is achieved. Maintain strong productivity standards by proactively managing workload, prioritizing tasks, and ensuring timely follow-up on all accounts. Obtain, review, and update equipment quotes Facilitate facility purchasing process, including coordination, communication, and follow through on all orders. Work within inventory systems Assist with equipment preparation and coordination, ensuring needed items are identified, ordered, or sourced appropriately from an office stand point. Process all delivery documentation, including entering and receiving delivery tickets accurately and inaccurately timely manner. Support billing and intake functions as needed by verifying documentation, coordinating with facilities, and ensuring accounts progress to billing without delay. Maintain organization and accountability across all systems Brightree, spreadsheets, and tracking tools. Provide back up support to all departments,
