This is a full time, benefits eligible position.POSITION SUMMARY
The Front Desk & Facilities Support Coordinator plays an important role in maintaining the daily cleanliness, organization, and operational readiness of the Madison Youth Arts Center (MYARTS). This position supports the facility during evening program hours by performing routine cleaning, restocking, inspections, and basic building maintenance tasks while also providing limited front desk coverage and customer assistance. The position acts as an evening building steward, helping ensure that studios, shared spaces, and common areas remain clean, safe, and ready for youth arts programming. Responsibilities include monitoring facility conditions, performing routine custodial tasks, preparing spaces for programs, restocking supplies, and supporting general facility operations. While this role includes front desk responsibilities such as greeting visitors and assisting program providers, its primary focus is facility cleanliness, upkeep, and operational support to help maintain a welcoming and functional environment for youth, artists, instructors, and community partners. This position works closely with the Event Operations Manager and Facilities Manager staff to help maintain building standards and ensure that MYARTS spaces are properly maintained and ready for daily programming and events.ESSENTIAL AND NON-ESSENTIAL FUNCTIONS
Front Desk Operations and Visitor Support - 50%- Serve as the primary front desk presence during assigned evening shifts.
- Welcome visitors, program participants, instructors, and community partners entering the building.
- Provide wayfinding assistance and information regarding programs, schedules, and facility spaces.
- Monitor activity in the lobby and common areas to maintain a safe and orderly environment.
- Respond to general questions from visitors and direct inquiries to appropriate staff or program providers.
- Assist with monitoring building access and ensuring facility use aligns with operational policies. Building Stewardship, Safety and Facility Support - 20%
- Act as a steward of the facility by maintaining cleanliness and order in shared spaces, studios, specialized areas (theaters, green rooms, shops).
- Perform work order completion and facility tasks such as restocking supplies, wiping surfaces, or light mopping as needed.
- Ensure building policies and youth safety protocols are followed.
- Help maintain a clean and welcoming facility environment during operating hours.
- Conduct periodic walkthroughs of common spaces to ensure cleanliness and order.
- Report facility maintenance issues through the work order system (CMMS). Administrative and Operational Support - 15%
- Assist with data entry and administrative tasks related to facility operations.
- Enter and maintain information within the MYARTS space management or scheduling systems.
- Support tracking of program activity, space use, and evening facility operations.
- Maintain organized records and assist with general operational documentation during front desk shifts.
- Provide basic administrative support to operational staff when needed. Facility Closing Responsibilities - 10%
- Assist with end-of-day building procedures.
- Confirm that studios and common spaces are reset and orderly.
- Ensure shared areas are secure and ready for the next day's programs.
- Support building closing procedures according to MYARTS operational policies. Non-Essential Functions - 5%
- Provide occasional support during special events.
- Assist staff with small operational tasks as assigned.
- Provide general information about MYARTS programs and facility services.
- Perform other duties as assigned.
QUALIFICATIONS
Applicants may demonstrate qualifications through paid employment, volunteer work, education, or other relevant life experience. Required Qualifications- Experience providing customer service or interacting with the public.
- Strong interpersonal and communication skills.
- Ability to work effectively with a wide range of people, including youth participants.
- Ability to work safely with building cleaning materials and follow safety procedures.
- Ability to work independently and exercise sound judgment in operational situations.
- Basic computer proficiency and ability to perform data entry tasks.
- Ability to follow organizational policies and procedures.
- Willingness to complete a background check in accordance with MYARTS youth safety protocols. Preferred Qualifications
- Experience working in an arts organization, community center, or youth-serving environment.
- Experience providing front desk or reception services.
- Experience working with scheduling systems, facility management software, or databases.
- Experience supporting events, classes, or community programs.
- Experience with Google Suite applications, or similar programs.
SUPERVISORY AND DECISION AUTHORITY

Work Setting:
This is an on-site position located at the MYARTS (Madison Youth Arts Center) facility in Madison, Wisconsin.Schedule Expectations:
- Typical shifts range from 5 - 8 hours Fri, Sat, Sun, Mon, Tue 3 pm - 11 pm
- Hours include evenings and weekends, depending on programming needs.
- Schedule may vary week to week based on facility activity.
- MYARTS will attempt to provide relatively consistent shifts when possible, though flexibility is required.
COMPLIANCE AND SAFETY RESPONSIBILITIES
Because MYARTS is a youth arts facility, this role includes regular contact with minors participating in programs.Responsibilities include:
- Following all MYARTS youth safety policies and procedures.
- Maintaining a safe environment for participants and visitors.
- Reporting safety concerns, incidents, or facility issues to appropriate staff.
- Supporting adherence to building use policies by program providers and participants. All employees in this role must successfully complete required background screening consistent with MYARTS youth safety standards. Physical Requirements
- Ability to lift and move items up to 50 pounds.
- Ability to use ladders up to 6 ft in compliance with safety protocols.
- Ability to stand, walk, and move throughout the facility during a shift.
- Ability to move tables, chairs, and light equipment used in studio setups.
