Owner/Operations Manager Position Summary The Transportation Services Coordinator supports the safe and reliable operation of daily transportation services. The position coordinates routes and drivers, maintains rider attendance records, monitors vehicle readiness and compliance deadlines, communicates with drivers and families, and provides substitute driving coverage when necessary. Primary Responsibilities Coordinate daily routes and driver assignments. Confirm route coverage and communicate schedule changes, delays, and cancellations. Arrange backup coverage for driver callouts and serve as a substitute driver when needed. Maintain accurate rider attendance sheets, including absences, cancellations, and completed trips. Communicate professionally with drivers, families, schools, and authorized agency contacts. Conduct routine visual checks of vehicles for cleanliness, visible damage, safety concerns, and general readiness. Verify completion of required pre-trip and post-trip vehicle inspections. Track vehicle inspection, registration, insurance, maintenance, and other compliance due dates. Immediately report accidents, incidents, vehicle concerns, service complaints, or safety issues to management. Review driver and route documentation for accuracy and completeness. Maintain organized records and protect confidential rider, family, and company information. Assist with other transportation and administrative duties as assigned. Minimum Qualifications High school diploma or equivalent. Valid driver's license and acceptable driving record. Ability to meet company, insurance, background-check, and contract requirements for transporting riders. Experience in transportation, dispatching, scheduling, customer service, or office coordination preferred. Basic proficiency with email, spreadsheets, electronic calendars, and mobile applications. Reliable transportation and consistent attendance. Required Skills Strong organization, communication, and recordkeeping skills. Ability to coordinate multiple drivers, routes, riders, and deadlines. Ability to respond calmly and make sound decisions when schedules change. Strong attention to detail and commitment to rider safety. Ability to work independently while keeping management informed. Professional and respectful communication with drivers, families, and community partners. Physical and Scheduling Requirements The employee must be able to enter and exit passenger vehicles, visually inspect vehicle interiors and exteriors, and drive assigned routes when necessary. Work hours may include morning and/or afternoon transportation periods based on operational needs. Dependability, punctuality, and flexibility are essential.
