Job Description

Job Summary We are seeking a dynamic and detail-oriented Import Logistics Specialist to join our team and drive the seamless movement of goods across international borders. In this vital role, you will coordinate import operations, ensure compliance with all relevant regulations, and optimize freight and supply chain processes. Responsibilities:
( but are not limited to the following) Manage imports by coordinating with suppliers, freight forwarders, customs brokers, and other relevant parties to ensure timely and accurate delivery of goods. Prepare, review, and submit ISF filings &customs documents, including commercial invoices, packing lists, certificates of origin, bill of lading, and customs declarations. Coordinate with operations to arrange transportation and track shipments to ensure on-time delivery and resolve any issues or delays. Manage and resolve any requests in a timely manner from CBP regarding any import shipment, including custom holds and FDA inspection. Coordinate inbound domestic shipments, including scheduling deliveries, tracking shipments, reviewing shipping documentation, and communicating with vendors, carriers, and warehouse personnel to ensure timely receipt of materials and inventory accuracy Accurately process customer orders in a timely manner in accordance with client specifications, including preparation of packing slips, Certificates of Analysis (COA), bills of lading (BOL), shipping documentation, and invoices. Coordinate outbound shipments by evaluating carrier options to ensure cost efficiency, accuracy, and on time delivery; proactively provide shipping documentation to the Warehouse team to support seamless execution. Assist in the preparation of import documentation for audits and compliance checks. Maintain accurate records of import transactions, including invoices, shipping documents, customs declarations, and HTS codes. Collaborate with sales and purchasing teams to ensure accurate and timely delivery of goods to customers and suppliers. Coordinate with finance and accounting departments to ensure accurate and timely payment of import duties, taxes, and freight charges. Act as a liaison between Warehouse, Production, Sales, and Operations teams to ensure accurate order fulfillment aligned with inventory availability, production schedules, and delivery timelines, while maintaining organized operational records and documentation. Other responsibilities as assigned by executive management.
Education and Qualification:
Bachelor's degree in International Business, Logistics, or related field At least two years of experience in import and export operations Knowledge of local, state, and federal regulations related to international business
Skills and Abilities:
Excellent communication. Negotiation skills to secure the best shipping rates and resolve disputes with vendors or customs officials. Problem-solving skills to handle any issues that arise during the import process, such as delays, lost shipments, or customs problems. Able to work independently and as part of a team. Attention to detail and strong organizational skills. Proficiency in Microsoft Office Suite and other related software.

Required to reach with arms and use hands and fingers to handle documentation and inventory Required to stoop, kneel, crouch, stand, bend, sit, talk, hear, climb stairs and ladders Must be able to lift and/or move up to 20 pounds Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus
Work Environment:
Work in an office environment May be in contact with Allergens (Milk, Eggs, Fish, Crustacean Shellfish. Tree Nuts, Peanuts, Wheat, and Soybeans) Potential to move between office and warehouse areas to complete job functions, include close proximity to heavy machinery and powders This position is onsite Compliance with New York State Human Rights Pay Transparency Law, the annual rate range for this position is 70K to 85K. Please note that the salary information is a general guideline only. $70,000.00 - $85,000.00 per year
