Client Operations Coordinator

Job Description

Kenneth & Co. — CPA Firm Lafayette / East Bay, CA Full-Time | $70,000-$80,000, depending on experience About the Role Kenneth & Co. is a growing CPA firm serving individuals, businesses, trusts, estates, and high-net-worth clients. We are looking for an exceptionally organized, proactive Client Operations Coordinator to own the administrative workflow of the firm. This is not a traditional secretary or receptionist position . This person will be responsible for making sure client work moves through the firm from beginning to completion—on time, accurately, and without things falling through the cracks. We are looking for someone with a strong sense of ownership, exceptional organization, follow-through, communication skills, coachability, and comfort with technology and AI. You do not need to be a tax professional. We can teach our tax-specific processes. What matters most is your ability to learn quickly, take feedback, stay organized, communicate professionally, use technology effectively, and take responsibility for getting things done. What You Will Own You will coordinate the administrative lifecycle of client engagements across individual, business, trust, estate, and other tax and accounting services.
Responsibilities include:
Onboard new clients and set them up in firm systems Prepare and track engagement letters, authorizations, and other required documents Coordinate client portal setup and document collection Maintain client checklists and proactively follow up on missing information Track tax returns and other engagements from intake through completion Coordinate work assignments among administrative, preparation, and review staff Monitor deadlines and identify work that is falling behind Track Forms 8879 and other required client signatures Coordinate final delivery of completed tax returns and other work Manage billing based on pricing established by the firm's owner Send invoices and follow up on outstanding balances Answer incoming calls and handle routine client questions Perform initial intake for prospective clients and schedule CPA consultations Coordinate calendars and client meetings Maintain accurate client records and workflow statuses Help manage technology implementations and system transitions Create, document, and continuously improve administrative procedures and checklists Support the onboarding and integration of clients from CPA-firm acquisitions Identify workflow bottlenecks and proactively work to resolve them Use technology, automation, and AI to reduce repetitive administrative work and improve the client experience What We Are Looking ForOwnership & Follow-Through This is the most important characteristic of the position. We want someone who takes responsibility for outcomes—not simply someone who completes assigned tasks. If something is missing, you follow up. If something is late, you notice. If a process isn't working, you raise the issue and help solve it. You should increasingly be able to look at the firm's workflow and determine: What needs to happen? Who needs to do it? What's missing? What's late? Who needs to be contacted? What happens next? Exceptional Organization You must be comfortable managing many clients, deadlines, documents, staff handoffs, and follow-ups simultaneously. We are looking for someone who naturally creates structure and enjoys keeping things organized. Coachability We want someone who is highly coachable and eager to improve . Our firm is growing, and our systems will continue to evolve. You should be comfortable receiving direct feedback, asking questions when appropriate, learning from mistakes, and quickly incorporating feedback into your work. Ideally, we can teach you a process, explain why we do it, and increasingly trust you to own it going forward. We do not expect you to know everything when you start. We do expect you to learn quickly . Communication You will communicate regularly with clients, CPAs, tax professionals, attorneys, financial advisors, and other members of our team.

We are looking for someone who is comfortable adopting new technology rather than resisting change. You should be comfortable learning new software quickly and using technology to improve how work gets done. Experience using AI tools is strongly preferred. We want someone who can responsibly use AI and automation to help with tasks such as client communications, organizing information, creating procedures and checklists, improving workflows, summarizing information, and reducing repetitive administrative work. You don't need to be an AI expert. But you should be curious about technology and willing to experiment with better ways of working.

Experience Experience in a CPA firm, law firm, wealth-management firm, financial-services company, or other professional-services environment is helpful, but not required . Prior tax experience is also helpful but not required. We are more interested in demonstrated ownership, organization, coachability, communication ability, and technology aptitude than in finding someone who already knows our tax software. A successful Client Operations Coordinator who demonstrates the ability to independently manage firm-wide workflow, coordinate staff, improve processes, implement technology and automation, and take ownership of operations can grow into a: Client Operations Manager / Firm Operations Manager As Kenneth & Co. grows organically and through acquisitions, this person could become an important member of the firm's management team.
Pay:
$70,000.00 - $80,000.00 per year

This position requires managing many clients, deadlines, documents, follow-ups, and staff handoffs simultaneously. Describe a role where you were personally responsible for keeping a large number of moving pieces organized. What system did you use? Your manager is unavailable until the afternoon. What would you do?
