Job Description

Jack's Guitar Garage - Northborough, MA Jack's Guitar Garage is an established music education center dedicated to helping students of all ages discover and develop their passion for music. We are looking for a highly organized, personable, and proactive Front Desk & Operations Manager to help oversee our daily operations and provide an exceptional experience for our students, families, instructors, and retail customers. This position is ideal for someone who enjoys working with people, thrives in a fast-paced environment, and has a passion for organization, customer service, and music education. Responsibilities Student & Family Support Manage new student inquiries via phone, email, and in person Guide prospective students through the enrollment process Schedule and book new students into appropriate lesson programs Coordinate lesson make-ups and schedule adjustments Assist current students and families with questions regarding lessons, programs, and events Process customer payments and maintain accurate billing records Manage recurring lesson billing and customer accounts Address billing questions and resolve payment-related issues professionally and efficiently Follow up on outstanding balances and assist customers with payment arrangements when necessary Create a welcoming and positive experience for every customer who enters the shop Instructor & Schedule Management Manage instructors' daily teaching schedules Process and coordinate instructor time-off requests Arrange substitute instructors and lesson coverage when needed Communicate schedule changes effectively with instructors, students, and families Retail & Inventory Management Monitor and manage inventory levels Place and track product orders Assist walk-in retail customers with product recommendations Maintain strong knowledge of the products and services offered by the shop Help customers find the right instruments, accessories, lessons, and programs for their needs Team Leadership Train, support, and supervise the front desk team Work closely with high school-aged staff members to ensure excellent customer service and operational consistency Help establish and maintain procedures that create an efficient and positive work environment General Shop Operations Maintain a professional, organized, and welcoming front desk area Assist with basic guitar string changes and instrument-related customer needs Support special events, recitals, and shop activities as needed Qualifications Required Strong customer service and communication skills Excellent organizational and time-management abilities Ability to multitask and prioritize responsibilities Professional and friendly demeanor Comfortable working with students, parents, instructors, and retail customers Experience with scheduling, administration, or office management Ability to work independently and solve problems proactively Preferred Experience in music education, music retail, or a related field Familiarity with guitars and basic instrument maintenance Previous leadership or team management experience Experience training and mentoring younger staff members What We're Looking For The ideal candidate is someone who naturally creates a warm and welcoming atmosphere, enjoys helping people, and takes pride in keeping operations running smoothly behind the scenes.
