We are seeking a highly creative, organized, and energetic Operations Manager t to lead the development and execution of entertainment programming across our multi-use entertainment destination Fifth & Elm. Fifth & Elm is a publicly owned, privately managed entertainment and community destination in Portland, Texas. The venue hosts live concerts, festivals, private events, community programs, family activities, food and beverage operations, and high-volume special events throughout the year. Job Overview We are seeking a dynamic and energetic Operations Manager to lead the daily operations of our prestigious entertainment venue. This role is vital in delivering exceptional guest experiences, overseeing staff, managing event logistics, and ensuring smooth operational flow. The ideal candidate will possess strong leadership skills, extensive venue management experience, and a passion for hospitality excellence. Key Responsibilities include but not limited to: Oversee all aspects of venue operations, including event planning, execution, and post-event wrap-up to ensure seamless guest experiences. Lead and supervise a diverse team of staff members, including event coordinators, security personnel, event and hospitality staff. Manage shift schedules, assign duties, and monitor staff performance to maintain high standards of service and safety. Coordinate with clients and vendors to facilitate event setup, technical requirements, and guest services. Maintain operational compliance with health and safety regulations; conduct first aid and CPR as needed. Oversee budgeting processes, including cost control, cash handling, and resource allocation to maximize efficiency. Prepare detailed reports on venue performance, incident logs, and operational metrics for senior management review. Detailed responsibilities include but not limited to Leadership and Personnel Management Help lead, develop, and hold accountable a team of approximately 30-40 employees. Oversee or work closely with four to six managers, supervisors, and department leaders. Participate in hiring, on boarding, training, coaching, performance management, discipline, and employee development. Set clear expectations and maintain a positive, professional, and accountable workplace culture. Address attendance, performance, communication, and employee-relations issues promptly and consistently. Build strong working relationships across departments and support managers in leading their teams effectively. Labor Management and Payroll Develop and review employee schedules based on operating needs, event requirements, and budget expectations. Monitor staffing levels and make real-time adjustments when attendance, weather, sales, or event conditions change. Review timekeeping and payroll information for accuracy. Control labor costs while maintaining appropriate staffing and service levels. Identify scheduling efficiencies and areas of unnecessary overtime or labor expense. Event Operations and Venue Readiness Oversee operational preparation, execution support, tear down, and venue reset for concerts, festivals, private events, community functions, and other special programs. Coordinate with event sales, catering, food and beverage, production, security, maintenance, and other departments. Confirm that event spaces are set correctly, staffing plans are complete, operational needs are addressed, and the venue is guest-ready. Serve as a senior manager on duty during major events and high-attendance operating periods. Respond quickly and professionally to staffing shortages, guest concerns, facility issues, weather conditions, and other event-day challenges. Ensure the facility is restored to required operating standards following each event. Ticketing and Event Administration Support or manage event setup within the ticketing platform. Assist with ticket audits, event reporting, settlements, and financial reconciliation. Confirm that ticketing information, capacities, pricing, holds, and event details are accurate. Coordinate with management, marketing, accounting, and event partners regarding ticketed-event administration. Operational Systems, Training, and Risk Management Develop, maintain, and improve standard operating procedures. Help implement emergency action plans, safety protocols, training programs, and compliance documentation. Conduct or coordinate operational and safety training for managers and staff. Maintain accurate incident reports, training records, checklists, and other operational documentation. Ensure managers and employees understand emergency, severe-weather, guest-safety, and incident-response expectations. Identify operational risks and recommend practical corrective action. Facility Operations and Maintenance Oversee daily facility readiness, cleanliness, presentation, functionality, and guest-facing standards. Coordinate maintenance needs, work orders, preventative maintenance, repairs, and vendor access. Work with maintenance personnel and City representatives to address building and site concerns. Conduct facility inspections and confirm that operating areas are safe, functional, and ready for public use. Track unresolved maintenance issues and ensure appropriate follow-through. Assist with equipment, supply, and asset management. Vendor and Contractor Coordination Coordinate with operational vendors, contractors, security providers, temporary labor, suppliers, and service companies. Confirm schedules, access, scope of work, and completion of assigned services. Address vendor-performance concerns and escalate unresolved issues. Maintain organized records of active vendor relationships, service needs, and operating commitments. Guest Experience and Operational Standards Maintain high standards for cleanliness, service, communication, crowd flow, signage, accessibility, and venue presentation. Assist managers and employees in resolving significant guest concerns. Identify recurring guest-experience issues and implement operational improvements. Maintain a visible leadership presence during busy operating periods and major events. Financial and Administrative Support Assist with departmental budgeting, purchasing, invoice review, expense tracking, and operating-cost management. Support event-cost reconciliation and operational reporting. Maintain organized records, reports, schedules, checklists, and shared files. Identify opportunities to reduce unnecessary expenses and improve operational efficiency. City and Cross-Department Coordination Work professionally with City of Portland representatives regarding facility operations, maintenance, safety, events, and public use of the venue. Coordinate closely with the General Manager and leaders in production, events, food and beverage, catering, marketing, accounting, security, and maintenance. Communicate operational priorities, staffing needs, risks, and unresolved issues clearly and promptly. Support the General Manager in implementing company and venue priorities. Oversee or work closely with four to six managers, supervisors, and department leaders. Participate in hiring, on boarding, training, coaching, performance management, discipline, and employee development. Address attendance, performance, communication, and employee-relations issues promptly and consistently. Experience At least four years of progressive experience in operations, hospitality, entertainment, events, restaurants, hotels, attractions, recreation, facility management, or another high-volume guest-facing environment. At least two years of direct management experience with meaningful responsibility for employee leadership, scheduling, training, coaching, and accountability. Proven experience leading a sizable workforce across multiple shifts, departments, or operating areas. Experience overseeing or working closely with managers, supervisors, or department leaders. Demonstrated ability to manage labor schedules, staffing levels, timekeeping, and payroll accuracy. Strong experience coordinating complex events, busy operating periods, or large public gatherings. Ability to remain calm, organized, and decisive during emergencies, staffing challenges, severe weather, guest incidents, and other time-sensitive situations. Strong written and verbal communication skills. Strong organizational skills and consistent attention to detail. Comfortable using scheduling, payroll, ticketing, reporting, Microsoft Office, shared-file, and other operational systems. Ability to work independently while also collaborating effectively with senior leadership and department managers. Valid driver's license and reliable transportation. Ability to work a flexible schedule that regularly includes evenings, weekends, holidays, major events, and extended operating hours. Preferred Experience Operations leadership experience at an entertainment venue, live-event facility, convention center, hotel, resort, cultural attraction, high-volume restaurant, festival, municipal facility, or similar public-facing operation. Experience managing concerts, festivals, ticketed events, private events, community events, or large-scale hospitality functions. Experience working with a workforce of 20 or more employees. Experience managing supervisors or department managers. Experience with ticketing platforms, event settlements, payroll administration, labor forecasting, vendor management, purchasing, or operating budgets. Experience developing emergency action plans, standard operating procedures, training programs, and safety documentation. Experience working with municipal or governmental partners. Bachelor's degree in hospitality management, business administration, event management, facility management, or a related field. Equivalent operational and leadership experience will be considered in place of a degree. Schedule Expectations This is a full-time management position in the entertainment and hospitality industry. The schedule will vary based on venue operations and the event calendar.
The Operations Manager must be available to work: Evenings and weekends Holidays and major event dates Extended hours during concerts, festivals, and special events A combination of office, facility, and event-management shifts This position requires flexibility and a willingness to be present when operational leadership is most needed. Physical Requirements The position may require the ability to: Walk and stand for extended periods. Work indoors and outdoors in changing weather conditions. Navigate a large entertainment campus during operating hours and events. Lift, carry, push, or move operational supplies and equipment as reasonably required.
