POSITION SUMMARY
The Purchasing Manager is responsible for sourcing, ordering, and tracking all materials, hardware, and components required to support Woodcraft Millwork's custom millwork and cabinetry production. This role manages vendor relationships, maintains accurate stock and inventory levels, issues and tracks purchase orders, reconciles invoices, and keeps project costs current in our MRP system. Working closely with project managers and reporting to the Director of Millwork, the Purchasing Manager ensures that every project has the right materials on hand at the right time, at the right cost, so that production and installation schedules are never delayed by a purchasing gap.
KEY RESPONSIBILITIES
Inventory & Stock Management Monitor and maintain optimal stock levels of raw materials, sheet goods, hardware, veneer, finishes, and shop supplies to prevent shortages or overstock. Conduct regular cycle counts and physical inventory audits; investigate and resolve discrepancies. Establish reorder points and par levels for commonly used materials based on production demand. Maintain organized, accurately labeled storage areas in coordination with shop and warehouse staff. Vendor Sourcing & Purchasing Source and negotiate with vendors and suppliers across lumber, hardware, laminate, veneer, finishing materials, and specialty components to secure competitive pricing and reliable lead times. Evaluate vendor performance on price, quality, and delivery; develop and maintain a qualified vendor list. Build and maintain strong vendor relationships to support favorable terms, priority service, and issue resolution. Stay current on material market trends and pricing fluctuations that may affect project budgets. Purchase Order & Cost Management Issue, track, and expedite purchase orders from creation through delivery, ensuring accuracy of quantities, pricing, and specifications. Track material costs against project budgets and flag variances to project managers and the Director of Millwork. Reconcile vendor invoices against purchase orders and packing slips; resolve discrepancies with vendors and accounting. Maintain accurate, up-to-date cost and material data within the company's MRP system, including item pricing, vendor records, and purchase history. Project Coordination & Organization Partner with project managers to confirm material takeoffs, order timelines, and delivery schedules align with production and installation dates. Proactively communicate lead times, backorders, or supply issues that could impact project schedules. Keep purchasing records, vendor files, and documentation organized and audit-ready. Support the Director of Millwork with reporting, cost analysis, and process improvements across the purchasing function.
QUALIFICATIONS
3+ years of purchasing, procurement, or inventory management experience, ideally in millwork, cabinetry, woodworking, or a related manufacturing/construction environment. Working knowledge of wood products, sheet goods, veneers, hardware, and finishing materials preferred. Experience with MRP/ERP systems for purchasing, inventory, and cost tracking. Strong negotiation skills and experience managing multiple vendor relationships. Highly organized with strong attention to detail and follow-through on open POs and outstanding orders. Solid understanding of cost tracking, budgeting, and invoice reconciliation. Effective communicator able to coordinate across purchasing, production, project management, and leadership. Proficient in Microsoft Excel/Office; comfortable learning and maintaining data within an MRP platform.

Materials consistently arrive on time and in full, with no production delays caused by purchasing gaps. Inventory levels stay lean and accurate, minimizing both shortages and excess stock. Project costs are tracked accurately in the MRP system with invoices reconciled promptly. Project managers and the Director of Millwork have full visibility and confidence in material status at all times.
