Job Description
Position Summary The Operations Administration Specialist is the day-to-day administrative hub for workforce, office, and HCBS program support across Ability Focused Professional Services (AFPS). The position coordinates employee onboarding, workforce credential tracking, personnel records, client administrative records, referral and service-start documentation, program trackers, and routine audit-readiness activities. Working under the Director of Operations and in coordination with Program Management, QCIT, Finance/Billing, Employment Services, and other designated leaders, the Coordinator helps ensure required documents are complete, accurately filed, routed to the appropriate owner, and followed through to resolution. The position supports reliable operations without replacing programmatic supervision, clinical judgment, quality-assurance authority, incident investigation, service authorization, or final billing approval. Position Purpose
- Operate scalable administrative systems that support AFPS growth and service continuity.
- Coordinate workforce onboarding, personnel-file readiness, training documentation, and credential tracking.
- Support internal program administrative workflows from referral and intake through service activation, ongoing documentation control, review cycles, and discharge or transfer.
- Maintain organized, secure, and audit-ready client and workforce records in approved systems.
- Track deadlines, deficiencies, corrective-action follow-up, and required submissions while escalating unresolved items to the responsible leader.
- Reduce administrative burden on program and operational leaders while preserving clear departmental ownership and separation of duties.
