Please consider joining us. Job Description Individual and Family Services (IFS) manages over 700 inquiries for help each month and 30+ groups per week. The IFS Coordinator plays a key operational role within the Individual and Family Services (IFS) department at AANE. This position serves as the logistics and administrative lead for AANE's Couples and Partners Online Training Institute while also supporting coordination across broader IFS programming as needed. The Coordinator is responsible for departmental administrative tasks as outlined in the primary responsibilities below and provides support to facilitators and participants attending AANE groups, trainings, and events. Responsibilities include coordinating course logistics, supporting professional education programming, managing continuing education documentation, communicating with participants, and maintaining accurate registration and learning platform systems. This role works closely with Couples and Partners Services leadership, the broader IFS team, the Training team, Marketing, Finance, Senior Managers, and Group Facilitators to ensure smooth program delivery. This is a cross functional role focused on reliable event coordination, accurate systems management, and responsive participant support. Responsibilities Percentages of responsibilities may shift depending on programming cycles and organizational needs. Couples and Partners Programming and Event Coordination (approx 40%) Serve as the primary logistical and administrative coordinator for AANE's Couples and Partners Training Institute and broader IFS programming as needed.
Responsibilities include:
Coordinating course logistics, scheduling, event setup and participant communications for trainings, certification programs, and workshops Managing Thinkific and other AANE systems, including enrollment records, course completion, account access, coupon codes, and approved financial assistance Coordinating continuing education evaluations, certificates, accreditation documentation, and certification processes Maintain accurate program information and participation data across internal systems and public platforms, and collaborate with appropriate stakeholders, including program staff and marketing, to monitor registration, support course launches and program logistics, and provide reports as requested. Facilitator and Group Support (approx 40%) Provide logistical and administrative support to facilitators and participants across Couples and Partners programming and broader IFS groups and events.
Responsibilities include:
Supporting facilitators and participants with onboarding, access, registration, and technical issues related to online programming Maintaining facilitator lists and program documentation Coordinating with facilitators, instructors, the Couples and Partners Support Specialist, and other IFS staff as needed to ensure timely and accurate communication Responding to routine inquiries about programs, registration, payments, financial assistance, and course access Referring questions requiring clinical judgment, relationship expertise, or individualized guidance to the appropriate specialist, instructor, or licensed clinical provider Meeting Attendance (10-15% of hours) Administrative Coordinators will participate in the following relevant meetings. Adjustments may be made to accommodate the total number of hours worked. Attend regular meetings with the direct manager. Participate in IFS team meetings, relevant program planning meetings, full staff meetings, and organization-wide events and initiatives as needed. Collaborate across departments to support clear communication, effective program delivery, and alignment with AANE's mission and values. Additional Program Support (up to 5% of hours) If there is interest, coordinators are encouraged to engage in limited clinical services through the following activities: Social event or group facilitation Education programs such as training, other content creation, and consultations Strategic cross-department collaboration initiatives within AANE Qualifications Experience providing administrative and logistical support for courses, trainings, groups, events, or similar programming Strong organizational skills and communication skills Comfort using Zoom, Google Workspace, databases, and other web-based tools. Ability to maintain accurate records and follow detailed processes related to registration, continuing education, certification, accessibility, and accreditation Familiarity with autism, neurodiversity, neurodiverse relationships, and the broader autism services landscape Ability to work collaboratively across roles and departments while independently managing assigned responsibilities.
