Job Description Insight Global's client is seeking a Project Coordinator (PC) provides administrative support to the construction department in areas of bidding, contracts, submittals, project start-up and closeouts. This position also performs other non-routine administrative duties. The PC secures all necessary approvals and ensures that standard company procedures are followed and monitors compliance to contract requirements ensuring all conditions are satisfied. The PC relies on instructions and pre-established guidelines to perform the functions of the job. The PC works under immediate supervision of the Administrative Manager and closely with the project managers and superintendents.
- Job setup in project management system and on local server
- Research media and publications for project opportunities
- Obtain bid documents for project opportunities and prepare bid packages
- Prepare and issue Subcontracts, Professional Service Agreements, and Purchase Orders
- Prepare and issue Change Orders
- Assist the Project Manager with preparing and submitting RFIs and RFPs
- Log and process Submittals
- Assist the project team with project start-up and closeout processes and document preparations
- Manage the filing and distributing of all project documentation (contracts, drawings, submittals, change orders, permits, etc.
- Obtain all required permits for the project
- Process and manage Miss Utility locate requests
- Reconcile Subcontracts and research any issues with Subcontract/Vendor invoices
- Additional administrative duties such as scanning, copying, typing, mailing, filing of all project correspondence Skills and Requirements
- 3-5 years minimum of related construction admin and/or project admin experience with a general contracting or civil construction firm.
- Strong oral and written communication skills.
- Proficient in MS Office.
- Ability to work well in teams.
- Associate degree in business or construction management related fields.
- Knowledge in Procore or CMiC construction management software a plus.
