Assistant Property Manager Job Description The Assistant Property Manager will provide essential administrative support and ensure the smooth operation of property management activities. This role involves assisting with lease administration, coordinating meetings and events, preparing reports, and maintaining office supplies and systems to support the Property Manager in compliance with established policies and procedures. Responsibilities Provide full administrative support, including phone support, typing reports, filing, and distribution of correspondence. Schedule and coordinate meetings and special events as requested. Assist in lease administration activities, including tenant contacts and insurance information, and generate reports. Prepare and coordinate bid proposals, service contracts, and approved invoices, assisting in the bidding process. Ensure compliance with policies and procedures by assisting Property Managers. Prepare and code invoices for Property Manager's approval. Ensure the office is stocked with necessary office supplies and items. Complete contract and certificates of insurance information in contract administration software promptly and accurately. Track and file contracts and insurance certificates, maintaining a follow-up system for expirations. Monitor and maintain the property maintenance work order system and prepare monthly reports for the Property Manager. Maintain the property purchase order system. Maintain lease and contract files, as well as other files within the property management office. Promote and foster positive relationships with tenants and clients and track service calls. Assist with monthly and quarterly management reports and annual budget preparation. Process management and maintenance staff hours, tenant bill back invoices, expense reports, monthly meter readings, and check requests for review and approval. Essential Skills 2-4 years of property management or administrative experience. Proficiency in Microsoft Office, especially MS Excel. Strong commercial property management knowledge. Excellent customer service skills. Proficiency in data entry and computer skills. Additional Skills & Qualifications Excellent communication proficiency, both oral and written. Job Type & Location This is a Contract position based out of Carmel, IN. Pay and Benefits The pay range for this position is $26.00 - $28.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
