We are looking for a candidate who treats the property as if it were their own business. The ideal candidate is proactive rather than reactive. They notice problems before tenants complain, follow up without being reminded, understand the importance of occupancy and tenant retention, and take pride in maintaining an exceptional executive-office environment. This position is ideal for someone who enjoys combining property management, hospitality, leasing, sales and business operations. This is not simply a property management position. We are looking for someone who will take ownership of the entire operation, provide exceptional service to our tenants, maintain a first-class professional environment, and continually look for ways to improve occupancy, revenue and operating efficiency.
Key Responsibilities:
Manage all day-to-day operations of the executive office property Serve as the primary point of contact for existing and prospective tenants Maintain excellent tenant relationships and respond quickly to tenant needs Manage executive office leasing, renewals, move-ins and move-outs Follow up with prospective tenants and help convert inquiries and tours into signed lease agreements Maintain high occupancy and proactively address upcoming vacancies Oversee rent collection, accounts receivable and tenant delinquencies Prepare and monitor operating budgets, expenses and monthly property performance Review invoices and control operating costs Coordinate and supervise maintenance, janitorial, security, landscaping and other vendors Obtain competitive bids and negotiate vendor contracts when appropriate Conduct regular property inspections and ensure the building, offices, common areas, conference rooms and amenities are maintained to a first-class standard Coordinate repairs and preventative maintenance Manage conference rooms, shared office amenities and tenant services Supervise front-desk, administrative and building personnel as applicable Maintain accurate leases, tenant files, insurance certificates and property records Provide ownership with regular reporting on occupancy, leasing activity, collections, expenses and outstanding property issues Identify opportunities to increase revenue, improve tenant retention and reduce unnecessary expenses Handle problems proactively and take responsibility for seeing issues through to completion
Qualifications:
Prior experience in commercial property management, executive suites, coworking, office management, hospitality or a similar customer-service-oriented business Strong leasing, sales and tenant-relations skills Excellent organizational and follow-through abilities Professional appearance and communication skills Strong understanding of budgets, operating expenses, invoices and basic property financial reporting Comfortable managing vendors, contractors and employees Ability to handle multiple priorities and solve problems independently Strong computer and property-management/software skills High level of integrity, accountability and attention to detail
