Job Description

Position Summary The Executive Manager holds operational command of a large property management brokerage. This is the role that owns the day-to-day: the portfolio performs, the team performs, the owners stay, and the books are clean. Working under the Director of Operations and within the supervisory authority of the qualifying broker, the Executive Manager leads a W2 team of property managers and support staff, owns the department profit and loss, safeguards the integrity of the trust accounts, and serves as the senior escalation point for property owners, residents, and vendors. The role is equal parts leader, operator, and steward of the company's reputation in a market where word travels fast and clients are neighbors. Success in this position looks like an organization that runs without the owner in the room. Core Responsibilities 1. Daily Operations Leadership Direct all daily property management operations across the portfolio, ensuring every door is leased, maintained, inspected, and accounted for on schedule.
Own the operational calendar:
rent posting and collections cycles, delinquency and eviction workflows, lease renewal pipelines, move-in and move-out inspections, and periodic property condition reviews. Establish, document, and enforce standard operating procedures for every recurring workflow; keep the SOP library current as processes change. Serve as the final internal decision-maker on escalated resident matters, lease interpretation questions, and property-level judgment calls, escalating to the Director of Operations or qualifying broker only where authority, license law, or legal exposure requires it. Maintain data integrity in the property management platform — accurate lease terms, contact records, unit data, work order history, and owner records. Ensure office coverage, response-time standards, and after-hours emergency protocols are staffed and honored. 2. Team Leadership and Development Recruit, interview, hire, and onboard W2 property management and support staff in coordination with the Director of Operations. Set clear performance expectations for each role, including written scorecards tied to measurable portfolio outcomes. Conduct structured one-on-ones, quarterly performance reviews, and real-time coaching; document performance conversations consistently. Build and deliver ongoing training on Florida license law, fair housing, landlord-tenant procedure, customer service standards, software proficiency, and company policy. Manage staffing levels against portfolio growth, recommending headcount changes with supporting workload data. Administer progressive discipline and, where necessary, termination decisions in coordination with the Director of Operations and consistent with company policy and employment law. Manage scheduling, PTO approval, and coverage planning; ensure accurate timekeeping for non-exempt staff. Build bench strength - identify successors for every critical function so the department is never one resignation away from a crisis. 3. Owner and Client Relations Serve as the senior relationship owner for the property owner client base, with direct accountability for owner retention. Conduct onboarding for new owner clients: management agreement execution, property intake, expectation setting, and initial condition assessment. Lead annual portfolio reviews with owners covering rental rate positioning, capital improvement recommendations, deferred maintenance exposure, and hold-versus-sell considerations. Resolve owner escalations personally and promptly, with written follow-up documenting resolution. Monitor owner sentiment and churn signals; run proactive save conversations before an owner reaches the cancellation point. Support portfolio growth by representing the company credibly to prospective owners, investors, and referral partners. 4. Maintenance, Turnovers, and Vendor Management Own the maintenance function end to end: intake, triage, dispatch, completion verification, and owner billing. Establish and enforce work order response and completion time standards, including a defined emergency protocol. Manage the turnover process to minimize vacancy loss — coordinate move-out inspection, scope of work, vendor scheduling, make-ready completion, and re-list timing. Build and maintain the approved vendor network; negotiate pricing, verify licensing and insurance coverage, monitor quality, and remove underperformers. Enforce owner approval thresholds for non-emergency expenditures per each management agreement. Oversee preventive maintenance programming — HVAC service, roof and exterior inspection cycles, water intrusion prevention, and hurricane season readiness across the portfolio. Direct property response before, during, and after named storm events, including pre-storm communication, post-event inspection, insurance claim coordination, and owner reporting. 5. Financial Management and Trust Account Oversight Review and understand the profit and loss statement: build the annual operating budget, manage to it, and explain variances monthly. Oversee accurate and timely rent collection, late fee assessment, and delinquency escalation. Ensure monthly owner disbursements and owner statements are issued accurately and on the committed schedule. Exercise oversight of escrow and trust account activity, including timely reconciliation, proper handling of security deposits, and strict separation of company operating funds from client funds — under the supervisory responsibility of the qualifying broker. Approve and code operating expenditures; monitor maintenance spend per door and vendor cost trends. Manage accounts payable and receivable cycles for the department. Deliver a monthly operating report to the Director of Operations covering portfolio performance, financial results, staffing, and risk items. Identify and implement margin improvement opportunities — fee structure refinement, workflow efficiency, and technology leverage. 6. Compliance and Risk Management Ensure all activity conforms to Chapter 475, Florida Statutes and FREC rules governing licensed real estate activity, brokerage supervision, advertising, and trust fund handling. Ensure compliance with the Florida Residential Landlord and Tenant Act (Chapter 83, Part II) in all notices, deposit handling, entry procedures, and possession actions. Enforce federal and Florida fair housing law across all advertising, screening, showing, and resident interaction; maintain consistent, documented, written screening criteria applied uniformly. Ensure required disclosures are delivered and documented, including lead-based paint and radon. Maintain current, complete resident and owner files sufficient to withstand audit or litigation discovery. Coordinate with legal counsel on eviction proceedings, contested deposit claims, and disputed matters; appear for the company where appropriate. Verify that all licensed staff maintain active licensure and complete continuing education on schedule. Manage the company's insurance requirements for the department, including E&O and general liability, and ensure vendor certificates remain current. Minimum five years of residential property management experience, including at least two years supervising staff. Demonstrated experience managing a portfolio of comparable scale, with direct financial accountability. Working command of the Florida Residential Landlord and Tenant Act, Chapter 475, FREC trust accounting rules, and federal and state fair housing law. Proficiency with a major property management platform and strong general software fluency, including spreadsheets. Proven ability to read, build, and manage to a budget and to interpret a profit and loss statement. Excellent written and verbal communication, with the judgment to know which conversations belong in writing. Valid Florida driver's license, reliable transportation, and the ability to travel throughout the service area. Successful completion of background screening. Preferred Qualifications Florida Real Estate license. Broker Associate preferred. Experience serving a military-heavy resident population and familiarity with SCRA and BAH dynamics. Prior experience building SOPs and training programs from the ground up.
