Ontario, CA Job Details Full-time $21 - $24 an hour 1 day ago Qualifications High school diploma or GED Manufacturing facility experience Attention to detail Manufacturing Time management Full Job Description Job Summary We are seeking an organized and detail-oriented Purchasing Assistant to support our Purchasing Manager and Purchasing Department in a fast-paced manufacturing environment. Our company manufactures products used in public safety vehicles. This position assists with purchasing raw materials, hardware, fasteners, office supplies, and facilities-related items needed to support production and daily operations. The Purchasing Assistant will work with an established vendor base, obtain competitive quotes, prepare purchase orders, maintain accurate purchasing records, and communicate with vendors to help ensure materials are ordered correctly and delivered on time. The ideal candidate is dependable, comfortable working with numbers and computer systems, and able to manage multiple purchasing priorities while maintaining accuracy and professional vendor relationships. Key Responsibilities Prepare and process purchase orders for raw materials, hardware, fasteners, equipment, and supplies. Request and compare vendor quotes to obtain competitive pricing, lead times, and purchasing terms. Work with an approved vendor base of approximately 250 vendors. Enter, update, and maintain purchase orders, pricing, vendor information, and purchasing records in the company ERP system. Track open purchase orders, order confirmations, and expected delivery dates. Follow up with vendors to support on-time delivery and help prevent material shortages. Purchase manufacturing materials, including flat sheet steel, powder-coated steel, plastics, hardware, and fasteners. Assist with purchasing office supplies, maintenance materials, equipment, services, and other facilities-related items. Review purchase orders against vendor invoices and packing slips and research pricing, quantity, or delivery discrepancies. Communicate with vendors regarding quotes, pricing, order changes, delivery schedules, shortages, and quality concerns. Maintain organized records of vendor contacts, price agreements, lead times, quotes, and purchasing history. Assist with identifying and evaluating alternate or backup vendors. Monitor inventory levels of raw materials, hardware, and supplies to help prevent stockouts and production interruptions. Assist with tracking vendor performance related to pricing, quality, responsiveness, and on-time delivery. Coordinate with Production, Warehouse, and Receiving to confirm material requirements and resolve order or delivery issues. Support special purchasing projects and cost-saving initiatives as assigned by the Purchasing Manager. Perform additional purchasing and administrative duties as needed. Qualifications Previous purchasing, procurement, inventory, vendor-management, or manufacturing experience is preferred. Familiarity with manufacturing materials such as steel, plastics, hardware, or fasteners is a plus. Experience using an ERP or purchasing system is preferred. Proficiency with Microsoft Office, including Excel, Outlook, and Word. Strong computer, data-entry, and recordkeeping skills. Ability to request, review, and compare vendor quotes. Basic mathematical skills, including decimals, percentages, and pricing calculations. Strong attention to detail and commitment to accurate order processing. Effective written and verbal communication skills. Strong organizational and time-management abilities. Ability to manage multiple priorities and meet purchasing deadlines. Ability to read and understand vendor quotes, material specifications, purchase orders, and written instructions in English. Ability to work independently while collaborating effectively with Purchasing, Production, Warehouse, Receiving, and other departments. Professional and dependable when communicating with vendors and coworkers. High school diploma or equivalent is preferred but not required. Work Environment This is primarily an office-based position within a manufacturing environment. The Purchasing Assistant may occasionally enter warehouse or production areas to coordinate material needs, confirm deliveries, or assist with purchasing-related issues.
