This position plays a critical role in helping patients get scheduled quickly, keeping provider calendars organized, and ensuring a smooth experience from the first phone call through follow-up care. We are looking for someone who is comfortable in a fast-paced medical environment, communicates professionally, pays close attention to detail, and can manage a high volume of calls and appointments without sacrificing excellent customer service. Responsibilities Answer incoming patient calls in a professional and friendly manner Schedule new patient consultations, follow-up visits, procedures, and other medical appointments Coordinate appointments across multiple providers and clinic locations Confirm patient demographic, insurance, attorney, and case information as needed Communicate appointment preparation instructions to patients Make outbound calls to schedule and confirm appointments Reschedule missed or canceled appointments and help keep provider schedules full Maintain accurate scheduling information in the electronic medical record and scheduling system Communicate with clinical staff regarding scheduling issues, urgent appointments, and patient needs Coordinate with attorneys, medical providers, and other offices when necessary Monitor provider schedules for openings, conflicts, and opportunities to improve scheduling efficiency Document patient communications accurately Provide excellent customer service to patients who may be dealing with injuries, pain, and stressful circumstances Assist with other front-office and administrative duties as assigned Qualifications Previous medical scheduling, medical receptionist, call center, or healthcare office experience preferred Strong telephone and customer service skills Excellent verbal and written communication skills Ability to multitask and remain organized in a high-volume environment Strong attention to detail and accuracy Comfortable working with computers, electronic medical records, and scheduling software Ability to communicate professionally with patients, attorneys, healthcare providers, and coworkers Dependable attendance and punctuality Ability to work independently while also contributing to a team environment Preferred Experience Experience in any of the following is a plus: Personal injury healthcare Chiropractic, physical therapy, pain management, orthopedic, or specialty medical offices Medical scheduling Patient intake Attorney or lien-based medical cases Bilingual English/Spanish What We Are Looking Fo r The ideal candidate is someone who takes ownership of the schedule rather than simply answering the phone.
