The ideal candidate will play a crucial role in ensuring the smooth and efficient operation of our office. This position requires strong organizational skills, effective communication, and the ability to manage multiple tasks simultaneously. The operations coordinator will serve as a key point of contact for both internal teams and external clients, fostering a collaborative and productive work environment.
Key Responsibilities:
1. Procurement and Inventory Management Execute the procurement process, ensuring timely and cost-effective acquisition of office/lab supplies, production materials, and office snacks. Manage inventory levels of product and office supplies to meet operational needs while optimizing costs. Ship products and samples to customers and vendors Receive items ordered for internal use. 2. Administrative Support Assist Business Development team with Hubspot campaigns, report creations and data entry. Assist R D with image uploads and scoring in proprietary software program. Facilitate and coordinate meetings, virtual and in person. Handle administrative tasks, assisting with employee onboarding and offboarding, and travel arrangements. Executive assistance and other ad hoc projects as requested. 3. Financial Management Take on financial responsibilities, including processing invoices, tracking expenses, and contributing to payroll processing. Collaborate with the finance team to maintain accurate financial records. 4. Vendor Relations Communicate with vendors to resolve discrepancies, ensure timely deliveries, and maintain positive relationships. Coordinate with vendors for potential visits, i.e. moving facilities, safety training, etc. 5. Team Engagement Act as the team cheerleader, fostering a positive and collaborative work environment. Coordinate team-building events and activities to enhance team morale.
Must Haves:
1. Work In office 2. QuickBooks Online and willingness to learn other software programs, Hubspot experience a plus 3. Flexibility, initiative, detail oriented, high energy, and ability to work with various personalities 4. Lift up to 25lbs
Job Type:
Part-Time with potential for

3-4 days a week, including every Friday, and 6-8 hour shifts
