Administrator Job Summary We are seeking a proactive and detail-oriented Staffing Coordinator to join our long-term care facility team. In this critical role, you will collaborate closely with Human Resources, Nurse Management, and Administration to assess and fulfill staffing needs, ensuring optimal coverage and stability across all shifts. The ideal candidate is a critical thinker with strong organizational skills, capable of anticipating challenges and implementing solutions to maintain high-quality patient care. This position may involve occasional hands-on support by working shifts as a Certified Nursing Assistant (CNA) or Certified Medication Aide (CMA) when needed. Key Responsibilities Partner with HR, nurse managers, and administrative staff to evaluate facility-wide staffing requirements, including forecasting needs based on patient census, seasonal demands, and regulatory compliance. Develop, maintain, and optimize staff schedules for nursing and support teams, ensuring balanced coverage while adhering to labor laws, union guidelines (if applicable), and facility policies. Manage daily staffing adjustments, including handling call-outs, call-offs, and last-minute absences; proactively recruit and coordinate temporary or per diem staff to fill gaps. Monitor staffing levels to promote stability, reduce turnover, and enhance employee satisfaction through fair scheduling practices. Track and report on staffing metrics, such as overtime usage, absenteeism rates, and compliance with staffing ratios, providing insights and recommendations to leadership. Occasionally provide direct support by working CNA or CMA shifts during staffing shortages, assisting with resident care activities like personal hygiene, medication administration, and vital signs monitoring. Maintain accurate records in scheduling software or systems, ensuring all documentation is up-to-date and confidential. Foster positive relationships with staff by addressing scheduling concerns promptly and equitably. Participate in recruitment efforts, including screening candidates for nursing and aide positions in collaboration with HR. Ensure all staffing practices align with state and federal regulations for long-term care facilities. Qualifications and Skills Proven experience in staffing coordination, scheduling, or a related administrative role, preferably in healthcare or long-term care settings. Strong critical thinking and problem-solving abilities, with a proactive approach to identifying and resolving staffing issues before they impact operations. Excellent organizational and time-management skills, with the ability to handle multiple priorities in a fast-paced environment. Proficiency in scheduling software. Effective communication skills, both verbal and written, for collaborating with diverse teams and resolving conflicts. Knowledge of healthcare staffing regulations, including nurse-to-patient ratios and labor laws. Ability to remain calm under pressure and make quick, informed decisions during emergencies or shortages. Requirements High school diploma or equivalent. Current certification as a CNA and/or CMA in the state of Colorado. Minimum of 2 years of experience in a healthcare or administrative support role. Flexibility to work varying hours, including evenings, weekends, and holidays as needed for scheduling or shift coverage. Must pass a background check, drug screening, and any required health assessments. Physical ability to perform CNA/CMA duties, including lifting up to 50 pounds and standing for extended periods.
