Home Care Scheduler Topnotch Care Services - 4.5 Easton, CT Job Details Full-time From $20 an hour 18 hours ago Qualifications Long term care experience Filing Medical administrative support Records management Organizational skills Full Job Description Topnotch Care Services is seeking a dependable, organized, and experienced Home Care Scheduler to join our team in Connecticut. The ideal candidate will have experience in home care scheduling, caregiver coordination, Sandata EVV, and handling day-to-day staffing issues in a fast-paced non-medical home care environment. Responsibilities Create and maintain caregiver schedules Match caregivers with clients based on availability, location, experience, and client needs Handle caregiver call-outs and quickly find replacement coverage Communicate schedule changes with caregivers, clients, and families Confirm caregivers are reporting to their assigned shifts Track caregiver availability, vacations, and time-off requests Assist with new client scheduling and caregiver assignments Maintain accurate scheduling and client records Communicate professionally by phone, text, and email Work closely with management regarding staffing and client concerns Help maintain consistent and reliable client coverage Sandata / EVV Responsibilities Monitor caregiver Electronic Visit Verification (EVV) through Sandata Review caregiver clock-ins and clock-outs Identify missed, late, incomplete, or incorrect EVV visits Follow up with caregivers regarding missed punches or EVV discrepancies Correct and maintain visit information in Sandata when appropriate Review visit exceptions and assist with resolving EVV errors Verify scheduled hours against actual caregiver visits Ensure caregivers are properly using Sandata to clock in and out Assist caregivers who are having difficulty using the Sandata EVV system Monitor visits throughout the day to identify caregivers who have not clocked in Notify management of no-shows, missed visits, or significant EVV discrepancies Maintain accurate documentation regarding EVV corrections and schedule changes Assist with preparing EVV records for billing and payroll Help ensure Sandata records match authorized client services and scheduled hours Additional Office Duties Answer incoming calls from clients, caregivers, and families Maintain caregiver and client files Assist with timesheet and payroll verification Assist with billing documentation as needed Document caregiver call-outs and schedule changes Assist management with general administrative duties Qualifications Previous scheduling experience preferred Home care, healthcare, or caregiver scheduling experience strongly preferred Sandata EVV experience strongly preferred Knowledge of Electronic Visit Verification (EVV) Strong computer and data-entry skills Excellent communication and customer service skills Strong organizational and multitasking abilities Ability to handle last-minute staffing changes and urgent situations Dependable and able to work independently Professional when communicating with clients, families, and employees Must maintain confidentiality Preferred Experience Previous experience working with a non-medical home care agency, home health agency, Medicaid provider, staffing agency, assisted living facility, or other healthcare organization is highly preferred. Experience with Sandata, EVV, caregiver scheduling, Medicaid visits, payroll verification, and home care billing documentation is a plus.
