School Administrator Position Summary:
The School Operations & Instructional Support Specialist provides critical cross-departmental support, ensuring seamless administrative functionality, instructional continuity, and campus operations. This role requires ongoing mastery of school management software, state educational compliance standards, classroom leadership techniques, and campus-wide safety and student services.

High School Diploma or GED equivalent
Hours:
Varies between school hours (7:15am-3:15pm) Level 2 Background check required
Physical & Core Skills:
Basic computer literacy (MS Office Suite), ability to stand/walk for up to 4 hours daily during campus monitoring, and ability to occasionally lift up to 25 lbs. Core Job Duties & Responsibilities Administrative & Front Office Support (35%): Manage student information systems (SIS), process daily attendance, record emergency contact updates, manage incoming multi-line phone communications, format school communications, and assist visitors following district security protocols. Instructional Continuity & Classroom Facilitation (35%): lesson plans left by certified teachers during substitute assignments, maintain classroom discipline, document student engagement, adapt instructional delivery for diverse learning styles, and uphold FERPA and student privacy regulations. Operations, Safety & Student Services (30%): Supervise student arrivals, cafeteria procedures, recess, physical education activities, and dismissal lines; coordinate logistical setups for school events; maintain facility safety logs; and emergency response procedures.
Job Duties Administrative & Front Office:
Greet campus visitors, operate multi-line phone systems, input attendance and student data into school management systems, process emergency contact updates, and ensure compliance with FERPA student privacy regulations.
Instructional Continuity:
lesson plans provided by certified staff during teacher absences, maintain classroom order and discipline, document student progress, and support individual student learning plans.
Campus Operations & Student Supervision:
Supervise cafeteria meal periods, direct student drop-off/pick-up traffic, monitor outdoor recess and physical education activities, and assist with setting up campus events.
Safety & Compliance:
campus emergency procedures, manage visitor credentialing software, log facility safety checks, and complete incident reporting documentation. Skills Required Proficiency in standard office applications (Microsoft Office Suite/Google Workspace) and ability to master specialized school database software and related platforms. Strong verbal and written communication skills suitable for interacting with parents, students, and administration. Classroom management and de-escalation techniques. Adaptability to shift rapidly between administrative tasks, classroom teaching, and outdoor physical activities. Active Florida Level 2 Fingerprint Background Clearance (pursuant to the Jessica Lunsford Act).
Equipment Used Office & Computer Hardware:
Desktop computers, phone system, high-volume copiers/scanners/printers, and visitor badge checks.
Instructional Technology:
Related classroom tech and student tablets/laptops.
Communication & Safety Tools:
Portable two-way radios (walkie-talkies) and any other related tools/policies
Physical Demands Movement:
Frequent walking, standing, bending, stooping, and kneeling while supervising students indoors and outdoors.
Sedentary Tasks:
Sitting at a computer desk for up to 3-4 hours per day.
Lifting:
Ability to occasionally lift, push, pull, or carry up to 30 lbs. (e.g., paper cases, PE equipment, folding tables, or classroom supplies).
Sensory:
Sufficient visual and auditory acuity to monitor student activity across large campus spaces.
Working Conditions Environment:
Division of time between climate-controlled office/classroom settings and outdoor campus spaces (recess area, athletic fields, parking areas).
Noise Level:
Moderate in office areas; high during cafeteria, gymnasium, and outdoor supervision duties.
Schedule:
Standard school operating hours, Monday through Friday. 6-Month OJT Training & Competency Plan (24 Weeks / 960 Hours) Training Module & Focus Duration Core Skills & Competencies Acquired Module 1: Front Office Systems & Compliance Weeks 1-6 (240 hrs) Student database software, attendance tracking, FERPA compliance, visitor credentialing, record management, multi-line phone etiquette. Module 2: Classroom Management & Instruction Weeks 7-12 (240 hrs) Lesson plan execution, classroom safety/de-escalation, substitute protocols, IEP/504 accommodation awareness, student engagement strategies. Module 3: Student Services & Facility Operations Weeks 13-18 (240 hrs) Cafeteria flow management, PE/recess activity safety, dismissal/transportation logistics, event setup, inventory/supply requisition. Module 4: Safety Protocols & Cross-Departmental Leadership Weeks 19-24 (240 hrs) Campus emergency procedures, incident reporting software, advanced office workflows, cross-departmental scheduling, independent execution.
