Job Description

We are seeking an energetic, motivated, and highly organized Patient Scheduler to join our busy Spine & Orthopedic practice. This is a high-volume phone and scheduling position that requires someone who enjoys speaking with patients, takes initiative, stays focused, and is comfortable making both inbound and outbound calls throughout the day. Our Patient Schedulers are often the first impression of our practice . The ideal candidate is friendly, upbeat, confident, and able to build rapport quickly. You should be comfortable discussing our providers, specialties, and treatment options with prospective and existing patients, answering questions confidently, and helping patients understand why our practice may be the right choice for their care. This position requires a self-motivated individual who can work independently, stay productive with minimal supervision, and consistently follow through on leads, patient calls, and scheduling opportunities. Key Responsibilities Handle a high volume of inbound and outbound calls throughout the workday Respond to new patient inquiries and leads promptly and work to convert qualified leads into scheduled appointments Confidently discuss our physicians, providers, specialties, services, and treatment options to help patients select the appropriate provider and schedule an appointment Build rapport with prospective patients through friendly, professional, and empathetic communication Schedule patients with the appropriate provider based on symptoms, diagnosis, treatment history, imaging, and individual needs Proactively manage provider schedules by filling openings, minimizing gaps, and maximizing appointment availability Make outbound calls to patients who need recommended follow-up care Follow up with patients who cancel, miss appointments, or have not yet scheduled recommended care Consistently follow up on open leads and scheduling opportunities rather than waiting for patients to call back Obtain and accurately document patient demographics, insurance, pharmacy, and other required information Gather detailed information regarding symptoms, prior treatment, diagnostic imaging, previous surgeries, and the reason for the visit Coordinate necessary imaging, referrals, and medical records for upcoming appointments Maintain accurate and detailed documentation in the EMR and other practice systems Manage assigned tasks and follow-ups independently and complete them in a timely manner Communicate effectively with providers, clinical staff, patients, referral sources, and other members of the practice Maintain a positive, professional attitude while meeting productivity and scheduling expectations Qualifications Minimum of 1 year of experience in a medical office or clinical setting required; spine, orthopedic, neurosurgery, or pain management experience preferred Previous experience in high-volume patient scheduling, call center, patient access, or a similar phone-based role strongly preferred Comfortable making a significant number of outbound calls each day Confident and persuasive communicator who can educate patients about providers and services and help convert inquiries into appointments Friendly, empathetic, professional, and comfortable building rapport over the phone Self-motivated and able to work independently as well as part of a team Ability to remain focused and productive in a busy office environment with frequent activity and distractions Strong follow-through and willingness to take ownership of assigned leads, calls, tasks, and scheduling opportunities Ability to multitask and prioritize without losing attention to detail Strong knowledge of medical terminology Workers' Compensation and Personal Injury experience preferred Experience with EMR systems and Microsoft Office; eClinicalWorks (ECW) experience is a plus Excellent written and verbal communication skills Strong organizational and time-management skills Dependable, goal-oriented, and comfortable working in a productivity-driven environment What Success Looks Like in This Role A successful Patient Scheduler doesn't simply answer the phone and place appointments on the schedule. They actively look for opportunities to help patients get the care they need while keeping provider schedules full and productive . You will be successful in this position if you enjoy talking to people, are comfortable making outbound calls, take ownership of your work, follow through without repeated reminders, and can confidently turn patient inquiries into scheduled appointments while providing an excellent patient experience. Pay:
$16.00 - $23.00 per hour Expected hours: 40.0 per week
