Job Overview We are seeking a dynamic and organized Educational Operation Assistant to support the daily functions of our educational programs and administrative team. This paid position offers an exciting opportunity to contribute to a vibrant learning environment by managing essential office tasks, coordinating schedules, and ensuring smooth operational workflows. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to facilitate effective interactions with students, staff, and external partners. Responsibilities Manage front desk operations, greeting visitors and students with professionalism and warmth Answer multi-line phone systems promptly, providing accurate information or directing calls appropriately Maintain organized filing systems, both physical and digital, ensuring easy access to documents and records Support calendar management by scheduling appointments, classes, and meetings efficiently Handle data entry tasks using Microsoft Office and Google Workspace tools with accuracy and attention to detail Assist with bookkeeping activities using QuickBooks for invoicing, expense tracking, and financial record keeping Provide exceptional customer support by addressing inquiries via phone or email and offering helpful solutions Perform clerical duties such as proofreading documents, preparing reports, and managing correspondence Support office management tasks including supply inventory checks, filing, and general administrative support Experience Prior office experience or administrative support roles preferred, especially within educational or nonprofit settings Familiarity with office management tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar) Experience with bookkeeping software like QuickBooks is highly desirable Bilingual abilities are a plus to effectively communicate with diverse populations Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Excellent phone etiquette and interpersonal skills for engaging with students, parents, staff, and external partners Proven ability to handle multiple responsibilities simultaneously while maintaining accuracy and professionalism Typing proficiency combined with good computer literacy ensures swift data entry and document preparation Join us as an Educational Operation Assistant where your organizational talents will help foster an enriching learning atmosphere!
