They know exactly where every patient belongs — hygiene, emergency, or the doctor's same-day list — and they never let a call go unresolved. Groth Dental is a whole-health private practice with 13 years in Bingham Farms and a reputation built on exceptional care and long-term patient relationships. We've been recognized by Hour Magazine as a Top Dentist seven consecutive years. We are growing into a two-doctor, four-hygienist practice, and our front desk runs on a clear division of labor: our Director of First Impressions is the first point of contact for new patients, our Treatment Coordinator owns and manages the full doctor production schedule, and our Scheduling Coordinator owns the phones for existing patients, the hygiene schedule, and same-day and emergency placement on the doctor's book. This is a phones-first role for our existing patient base. You answer every existing-patient call, and you know this practice well enough to know exactly where each patient belongs the moment they call — a hygiene opening, an emergency slot on the doctor schedule, a referral to our Treatment Coordinator for full treatment planning, or a new patient inquiry routed straight to our Director of First Impressions. You own the hygiene schedule outright and you own the doctor's same-day and emergency openings. You are the calm, knowledgeable voice existing patients hear and the person who makes sure no call, no gap, and no emergency falls through the cracks. We are rebuilding how our front desk operates from the ground up. The phone protocols, hygiene block templates, same-day routing, and reactivation campaigns are all being designed now as part of a larger redesign of how this practice runs. The right person for this role wants to help build that system — not just run one someone else created. What This Role Owns Phones. You are the primary point of contact for every existing-patient call, plus referrals and vendors. New patient inquiries are routed to our Director of First Impressions. How you answer sets the tone for every returning patient's experience. Hygiene scheduling. You own the full hygiene schedule across three to four hygienists. Every patient leaves pre-appointed. Every open hygiene slot gets worked until it is filled. Same-day and emergency doctor scheduling. Post-op checks, limited exams, emergency visits, adjustments, and other smaller appointment types on the doctor schedule are yours to place and protect. The full production schedule — new patient exams, treatment blocks, case starts — is owned by our Treatment Coordinator, who you work closely with. Call triage and routing. When an existing patient calls about pain, a broken tooth, an adjustment, or any clinical concern, you take that call, assess urgency, and place it correctly — into hygiene, onto the emergency doctor list, over to the Treatment Coordinator if it's a treatment-planning conversation, or over to the Director of First Impressions if it's actually a new patient. Recall and reactivation. Patients overdue for hygiene get a systematic outreach sequence. Patients inactive for 18 or more months get a separate reactivation campaign. You own both and work them consistently — not occasionally. Broken appointment recovery. When a patient cancels or no-shows, you work the same-day list immediately for hygiene and emergency openings. A hole does not sit unfilled without an active attempt to fill it. Same-day list management. You maintain an active list of patients who want to be called for hygiene and emergency openings. This list is your first call every time a gap appears. Morning huddle prep. You prepare the daily hygiene and emergency schedule summary before the day starts — open time, same-day opportunities flagged, and any patient notes worth knowing. You genuinely enjoy being the first voice a patient hears, and you can triage a call quickly and confidently — every time. Someone who is wired to fill things. An open hygiene slot or an unfilled emergency opening bothers you. You do not report holes in the schedule — you fix them. Dental experience preferred. Understanding how a dental schedule works — block types, procedure times, hygiene flow, provider rhythm — puts you ahead. Strong scheduling or front-desk experience from a medical office or other fast-moving environment will also be considered. Organized and detail-oriented. You track your hygiene and emergency numbers, notice patterns, and keep nothing sitting unresolved in your inbox or on your list. A confident communicator. You talk to patients all day. You make triage and scheduling conversations feel easy and natural — not scripted or transactional. Calm under pressure. A ringing phone, a same-day cancellation, and a patient in pain on line two — you manage all of it without the day feeling chaotic. Someone excited to build, not just execute. We are designing new phone and scheduling systems. We want someone who has opinions about how patient routing should work and is energized by the chance to put them into practice.
