Company Overview Milk Moms is dedicated to supporting maternal and infant health through comprehensive healthcare services. Our mission is to provide exceptional care and resources for mothers, ensuring they receive the assistance they need during their crucial early parenting stages. Documents Operations Associate - Full Time This role is ideal for someone who enjoys structured work, staying organized, and making sure important details are handled correctly. As a Documents Operations Associate, you will be responsible for reviewing incoming documentation, maintaining accurate patient records, and supporting internal teams by ensuring files are complete and ready for the next step in the process. Most of the work in this role is focused and task-driven, with limited phone interaction. Success in this position comes from strong attention to detail, consistency, and the ability to stay organized while managing multiple documentation requests. Key Responsibilities Review incoming documentation received via fax and email and match it to the correct patient files Request missing or updated documentation from medical providers via fax, email, and phone Maintain organized and accurate patient records within our electronic medical record (EMR) system Monitor assigned inboxes and workflow queues to ensure timely processing of documents Communicate with patients via text, email, and phone when additional information is needed Work closely with internal departments such as Intake, Billing, and Insurance to support smooth operations Escalate complex issues to the Documents Operations Lead when needed Perform additional operational tasks as assigned What We're Looking For Strong attention to detail and ability to maintain accuracy in repetitive or high-volume tasks Comfortable working with computers and learning new systems Ability to stay organized and manage structured workflows Professional written communication skills Reliable, consistent work habits and ability to work independently Preferred (but not required) Experience in healthcare, medical administration, or office operations EMR experience Familiarity with fax systems or insurance portals Knowledge of HIPAA Days and Hours Monday through Friday 8:30am - 4:30pm Why Join Us Milk Moms is a small, team-oriented company where your work has a direct impact on patient care.
