About Us GAB Management is a privately owned real estate management company overseeing multiple commercial and residential properties in Rockland County. We are seeking a hands on, organized, and reliable individual to support day to day property operations, tenant communication, and field coordination with tenants and vendors. This is not a desk only position. The right candidate must be comfortable in the field, meeting contractors, documenting work, and handling light maintenance tasks when appropriate. Position Overview The Property Operations Coordinator will manage property emails, coordinate and respond to maintenance requests, perform site visits, meet vendors and contractors, document property conditions, and communicate updates to management. This role requires strong communication skills, attention to detail, and the ability to work independently while maintaining clear reporting lines. Responsibilities Administrative and Communication Monitor and respond to property email accounts daily Log and track maintenance requests Coordinate scheduling between tenants and contractors Maintain organized records of work orders and invoices Provide written updates to management Field Coordination Visit properties regularly Meet contractors on site Take photos and videos of work progress Prepare written condition and progress reports Verify scope completion before invoice submission Light Maintenance and Repairs Perform minor repairs such as: Replacing fixtures Minor plumbing fixes Basic drywall or patch work Simple carpentry Replacing locks or hardware Experience with power tools/advanced tools Identify when issues require licensed professionals Assist with preventative maintenance tasks Reporting Send clear summaries after site visits Escalate issues requiring management approval Track vendor performance and timelines
Important:
This position includes participation in on call, overnight and weekend property emergencies.
Responsibilities may include:
Responding to urgent tenant calls involving water leaks, flooding, heat loss, electrical issues, or safety concerns Coordinating emergency vendors Visiting properties when necessary to assess conditions Providing real time updates, photos, and written summaries to management Non emergency issues are not handled after hours and should be deferred to regular business hours. Additional compensation on call availability will be discussed during the interview process. Requirements 5+ years experience in property management, facilities coordination, or trades/ maintenance Basic handyman skills Strong written communication skills Ability to use email, spreadsheets, and property management software Valid driver's license and reliable vehicle Ability to lift up to 50 lbs Must have basic tools Preferred Qualifications Experience working with commercial properties Understanding of building systems Experience coordinating multiple vendors What We Are Looking For Highly organized Self motivated Professional when interacting with tenants and contractors Comfortable being both in the office and in the field Clear communicator who documents everything
