The Nursing Scheduler is responsible for the development, coordination, maintenance, and daily management of nursing staff schedules to ensure the facility is adequately staffed to meet resident care needs and applicable federal, state, and facility requirements. The ideal candidate will have prior scheduling experience in a long-term care, skilled nursing, assisted living, or healthcare environment and possess a strong understanding of nursing staffing requirements, shift coverage, call-offs, overtime management, agency utilization, and census-driven staffing needs. The Nursing Scheduler must be highly organized, dependable, responsive, and capable of making sound staffing decisions in a fast-paced environment. This position requires frequent communication with nursing leadership, nurses, STNAs, agency personnel, and other facility staff. The Nursing Scheduler is required to participate in the facility's nursing staffing on-call rotation and must be available to respond to staffing needs outside of regular business hours, including weekends and holidays.ESSENTIAL DUTIES AND
RESPONSIBILITIESNursing Schedule Management Develop and maintain accurate nursing schedules for all shifts, including RN, LPN, andSTNA/CNA
staffing. Prepare schedules based on resident census, acuity, staffing needs, approved staffing plans, employee availability, and facility requirements. Ensure appropriate staffing coverage for all shifts and departments. Monitor staffing levels throughout the day and proactively identify potential staffing shortages. Maintain accurate master schedules and make adjustments as staffing needs change. Coordinate schedules for full-time, part-time, PRN, per diem, and agency nursing personnel. Monitor employee availability, requested time off, call-offs, restrictions, and scheduling preferences. Ensure scheduled employees meet applicable qualifications and assigned responsibilities. Communicate schedule changes promptly to affected staff and nursing leadership. Call-Off and Staffing Coverage Receive and appropriately document employee call-offs. Immediately begin efforts to secure qualified replacement staff when necessary. Utilize established call-off procedures and staffing escalation protocols. Contact available employees, PRN staff, agency staff, and other approved resources to obtain coverage. Maintain an updated list of employees available for additional shifts. Escalate unresolved staffing shortages to the DON or appropriate nursing leadership. Document all efforts made to obtain coverage. Assist with identifying recurring attendance and staffing concerns for nursing leadership. On-Call Responsibilities Participate in the facility's required nursing staffing on-call rotation . Remain reachable and responsive during assigned on-call periods. Respond promptly to staffing emergencies, call-offs, and unexpected vacancies. Coordinate replacement staff for open shifts when possible. Notify the appropriate nursing supervisor, DON, or administrator when staffing needs cannot be resolved. Maintain professional communication with employees during stressful or time-sensitive staffing situations. Accurately document on-call activities, staffing changes, and unresolved vacancies. Report significant or recurring staffing issues to nursing leadership. Compliance and Staffing Oversight Maintain scheduling practices consistent with applicable Ohio Department of Health (ODH), Centers for Medicare & Medicaid Services (CMS), federal, state, and facility requirements , as applicable to the position. Monitor schedules for excessive overtime, excessive consecutive shifts, and other staffing concerns. Assist nursing leadership with maintaining adequate staffing based on resident needs. Ensure agency and temporary staff are scheduled in accordance with facility policies and applicable requirements. Maintain accurate staffing records and documentation. Assist with preparation of staffing information for surveys, audits, and internal reviews. Maintain confidentiality of resident and employee information. Communication and Coordination Work closely with the DON, Assistant Director of Nursing, Nursing Supervisors, Unit Managers, Administrator, Human Resources, and payroll personnel. Communicate staffing concerns promptly to nursing leadership. Maintain professional relationships with nursing staff while enforcing scheduling expectations and facility procedures. Respond professionally to employee scheduling questions and concerns. Coordinate with supervisors regarding anticipated staffing needs, special circumstances, admissions, discharges, and changes in resident census or acuity. Participate in staffing meetings as requested. Report daily staffing and PPD to corporate team Assist on units as necessary to maintain resident coverage Payroll and Timekeeping Support Review schedules and timekeeping information for accuracy. Identify discrepancies between scheduled hours and reported hours. Assist with monitoring overtime and unscheduled hours. Communicate scheduling-related payroll discrepancies to appropriate personnel. Ensure schedule changes are properly documented according to facility policy.REQUIRED QUALIFICATIONS
Education High school diploma or equivalent required. Additional education or training in healthcare administration, nursing, human resources, business administration, or a related field is preferred. Experience Minimum of 2 years of healthcare staffing/scheduling experience preferred. Long-term care, skilled nursing, assisted living, hospital, or other healthcare scheduling experience strongly preferred. Experience scheduling RNs, LPNs, and STNAs/CNAs preferred. Experience managing call-offs and obtaining last-minute staffing coverage required. Experience with electronic scheduling or workforce management systems preferred. Experience working with nursing agencies is preferred. Knowledge and Skills The successful candidate must demonstrate: Strong knowledge of nursing staffing operations. Understanding of long-term care facility staffing needs. Excellent organizational and time-management skills. Ability to prioritize multiple staffing issues simultaneously. Strong attention to detail and accuracy. Excellent telephone, written, and verbal communication skills. Ability to remain calm and professional during staffing emergencies. Ability to work independently with minimal supervision. Strong problem-solving and decision-making skills. Ability to maintain confidential employee and resident information. Proficiency with computers, Microsoft Office, email, electronic scheduling systems, and related software.PREFERRED EXPERIENCE

Ability to work in a fast-paced 24-hour healthcare environment. Ability to sit, stand, walk, and move throughout the facility as needed. Ability to communicate effectively with employees, supervisors, residents, families, and other individuals. Ability to use a computer, telephone, mobile device, and other office equipment. Ability to respond to staffing emergencies outside normal business hours. Must be able to fulfill the facility's required on-call responsibilities.
