Client Intake & Scheduling Coordinator Home Instead Senior Care - Central Bucks Home Care | Pipersville, PA Full-Time | Primarily In-Office | Some Remote Flexibility About the Role We are a locally owned home care company serving seniors in Bucks County. We care about doing things right and we need people who share that standard. This is a dual-function office position. You will support our scheduling operation and serve as the first point of contact for families reaching out about home care, as well as additional office responsibilities. Requirements To be considered for this position, you must: Be at least 21 years old Live in Bucks County, PA Have a valid driver's license Own a car with auto insurance Be able to lift at least 25 pounds Speak and write English fluently Savvy with technology including scheduling systems and smartphone apps Exceptional communication skills, including in person, on the phone, and through messages Organized, detailed-oriented and able to multi-task Qualifications The ideal candidate will also: Have worked in a busy office setting Experience in a Home Care or Healthcare agency Experience working with seniors Familiarity with scheduling programs Experience with SalesForce, Zoom, Google products, and other technology What You Will DoScheduling Support Work with the scheduling manager to fill open shifts and manage call-outs Track caregiver availability and keep scheduling records current in WellSky and Phoebe.work Communicate with caregivers via text message and phone for confirmations, coverage updates, and shift changes Serve as a backup resource for last-minute scheduling emergencies Support caregivers including answering questions, tech support, etc. New Client Intake Answer incoming calls from prospective clients and families through our Zoom phone system Explain our services, rates, and minimum scheduling requirements clearly and professionally Determine whether a prospective client is a fit for our services and schedule a care consultation with one of our care managers Log all leads, referral sources, and follow-up activity accurately in Salesforce Maintain intake records in Jotform and Google Sheets Client Onboarding Support Coordinate collection and completion of all required paperwork when a new client is onboarding Support care managers so they can stay focused on care planning and client needs Follow up with clients and families to make sure documents are signed and nothing falls through the cracks Systems We Use You do not need to know all of these. You do need to be the kind of person who picks up new software quickly and is not intimidated by working across multiple platforms and multi-tasking. WellSky (scheduling and client records) Phoebe.work (caregiver communication and scheduling) Avochato (text-based caregiver communication) Salesforce (lead and referral tracking) Zoom Phone (incoming client inquiries) Office 365 Google Sheets Jotform What We Are Looking For Organized and detail-oriented -- nothing falls through the cracks on your watch Strong phone communication skills -- you are often the first voice a family hears during a stressful time Comfortable with ambiguity and shifting priorities throughout the day Able to learn and work across multiple software platforms Follows through without being reminded Prior scheduling, administrative, home care, or healthcare experience is a plus Positive attitude and problem-solver Schedule and Location Full-time position based out of our Pipersville, PA, office Some remote flexibility may be possible after 90 days Occasional availability needed outside normal hours for last-minute scheduling coverage Compensation $18 to $20 per hour depending on experience, with potential to move to salary Paid training Opportunity to grow within the organization
