This position plays a critical role in ensuring the successful execution of engineering and inspection projects by providing administrative, travel, reporting, and logistical support to field engineers, technicians, and management. The Administrative Assistant will coordinate travel arrangements, process expense reports, enter and maintain employee timecards, assist with purchasing and shipping of equipment and supplies, prepare and assemble engineering reports, manage project documentation, and perform a variety of general administrative tasks. The ideal candidate is a self-starter who thrives in a fast-paced environment, can manage multiple priorities simultaneously, and demonstrates exceptional attention to detail. This position is based out of our Austin, Texas office. Essential Duties and Responsibilities Coordinate business travel arrangements including flights, hotels, rental vehicles, and related travel logistics for field personnel. Prepare and process employee expense reports in accordance with company policies. Enter, review, and maintain employee timecards and related payroll documentation. Coordinate ordering, receiving, inventory tracking, and shipment of equipment, supplies, and project materials. Prepare shipping documentation and coordinate deliveries to project sites throughout the United States. Assist with the preparation, assembly, formatting, and distribution of engineering reports and client deliverables. Maintain project files, records, databases, and electronic documentation systems. Perform data entry and ensure accuracy of project and operational information. Monitor office and field supply inventories and coordinate replenishment as needed. Provide administrative support to engineers, technicians, project managers, and department leadership. Assist with scheduling meetings, coordinating calendars, and supporting departmental initiatives. Communicate professionally with employees, vendors, clients, and subcontractors. Support special projects and perform additional duties as assigned. Occasional after-hours or weekend work is required during peak project seasons in Fall and Spring. Qualifications Required Associate degree or equivalent combination of education and administrative experience. Minimum of 2 years of administrative, office support, project coordination, or related experience. Proficiency in Microsoft Office applications including Word, Excel, Outlook, and Teams. Strong organizational and time-management skills with the ability to manage multiple priorities. Excellent written and verbal communication skills. High attention to detail and commitment to accuracy. Ability to maintain confidentiality and exercise good judgment. Strong customer service and interpersonal skills. Ability to work independently and collaboratively within a team environment. Preferred Experience supporting field service, engineering, construction, industrial, or technical operations. Experience with travel coordination and expense management. Experience with payroll, timekeeping, or timecard systems. Experience with purchasing, inventory management, or logistics coordination. Familiarity with engineering reports, project documentation, or technical deliverables, including data sheet formatting and image manipulation.
